PIV Credentialing Specialist

Salary Range: $46,300 - $53,900 (based on experience).
Key Responsibilities:
Enrollment Management:
- Organize appointments and manage walk-in services for Personal Identity Verification (PIV) Card activations, enrollments, certificate updates, and PIN resets.
- Respond to inquiries via phone and email regarding PIV credentials and access control.
- Oversee the enrollment process for PIV cards, ensuring applicant identity verification and documentation collection.
- Efficiently manage schedules to ensure a smooth flow of applicants while maintaining accuracy.
Documentation and Data Handling:
- Collect and accurately document personal information, biometric data (e.g., fingerprints), and other essential details from applicants.
- Ensure all necessary documents and forms are completed and submitted according to established protocols.
Verification and Security:
- Authenticate provided documents and information to prevent fraudulent enrollments.
- Utilize approved verification methods to confirm applicant identities before enrollment.
Data Protection:
- Handle sensitive personal information with confidentiality, adhering to data protection regulations and security protocols.
- Maintain the integrity and security of collected data, preventing unauthorized access.
Effective Communication:
- Clearly communicate the enrollment process, required documents, and next steps to applicants.
- Deliver exceptional customer service, addressing inquiries and concerns related to the enrollment process.
- Manage escalations by actively listening and responding to customer needs.
- De-escalate challenging customer situations while maintaining a calm and friendly demeanor.
Recordkeeping:
- Maintain accurate records of the enrollment process, documenting each applicant's information and any issues encountered.
- Prepare and manage spreadsheets to track the status of new applicants, contractors, and federal employee files.
Compliance and Professional Development:
- Stay informed about relevant policies, regulations, and procedures related to PIV card enrollment.
- Participate in training sessions to enhance knowledge of enrollment processes, data security practices, and customer service skills.
Qualifications:
- Proficiency in Microsoft Excel for data management and reporting.
- Ability to adapt to evolving security procedures and requirements.
- Prior experience in a similar role, customer service, or administrative position is beneficial.
- Strong attention to detail and organizational skills.
- Excellent interpersonal and communication abilities.
- Capacity to handle confidential information with discretion.
- Willingness to perform other job-related duties as assigned.
Physical Requirements:
- This role primarily involves sedentary work.
- Occasional stair climbing may be required.
- Periodic standing or walking for extended periods may be necessary.
- Activities such as reaching, bending, and lifting may be required.
- Frequent typing is essential.
- Effective communication through talking and listening is crucial.
Education:
- High School diploma or GED certification.
Clearance Requirement:
- US Citizenship is required.
- Active Public Trust/MBI clearance or the ability to obtain one.
