Job Title: Construction Administrative Assistant

We are seeking a highly organized and detail-oriented Construction Administrative Assistant to coordinate and assist with the day-to-day essential activities of our company and President.

Key Responsibilities:
  • Provide administrative support to the President, office manager, project manager, general contractor, and other construction management staff.
  • Offer exceptional customer service by responding to phone calls and emails in a timely and professional manner.
  • Act as a point of contact for vendors, subcontractors, and various construction services teams.
  • Prepare forms such as change orders, purchase orders, service agreements, and subcontracts.
  • Execute clerical and general office duties such as setting up filing systems, data entry, typing, copying, ordering office supplies, and other administrative tasks for special projects.
  • Coordinate meeting logistics and deliverables such as handouts, and making travel arrangements.
  • Manage and maintain schedules, including booking appointments and scheduling conference calls.
  • Collect and track expenses and reports from team members.
  • Prepare monthly expense reports and weekly construction schedules.
  • Process invoices, payments, and accurately file applicable supporting documentation.
  • Assist with RFP response for construction projects.

Requirements:

  • 3+ years of experience as an Administrative Assistant and/or in Customer Relations (Required).
  • 3+ years of experience as a Construction Administrative Assistant (Preferred).
  • Associate's degree (or equivalent experience) (Preferred).
  • Strong Microsoft Office Suite skills.
  • Proficient with QuickBooks Accounting Software.
  • Ability to work in a fast-paced office environment.
  • Ability to handle different types of tasks and perform effectively.
  • Strong organizational skills and attention to detail.
  • Strong time management.
