Executive Assistant

The Executive Assistant will provide high-level administrative support to the SVP of Strategic Initiatives and his team, including Strategy Development & Growth, Corporate Development, Sustainability, and Communications. This role will involve coordinating meetings, travel arrangements, and other administrative tasks, as well as maintaining confidentiality and professionalism.
Key Responsibilities- Manage complex calendars for multiple executives, including scheduling business and personal appointments
- Coordinate and prepare for meetings, conferences, and events, including agenda preparation, meeting minutes, and follow-up actions
- Coordinate complex travel arrangements for multiple executives, department leaders, vendors, and outside business partners
- Conduct research and compile data to prepare reports, presentations, and briefing materials for executives
- Create, establish, and maintain confidentiality and secure department documents and filing system
- Oversee administrative functions and ensure smooth operations within the executive office
- Coordinate complex accounting activities, including multiple expense reporting, complex invoices, purchase orders, etc.
- Screen and prioritize incoming calls, emails, and correspondence, directing them as appropriate
- Create, produce, distribute, and compare reports; perform basic to intermediate analysis of report summaries
- Complete ad hoc special projects as assigned
- Seek to improve job performance through self-assessment, skill development, training, and goal setting
- Maintain a regular and reliable level of attendance and punctuality
- Perform miscellaneous job-related duties as assigned
- Five (5+) years or more of administrative experience supporting one or more executive leaders
- Type 60 or more wpm with accuracy
- Proficiency in MS office support tools
- Ability to sort, alphabetize, and number documents in a timely and organized manner
- Ability to maintain confidential information and discretion
- High School Diploma/GED
- Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future
