Opportunity

The Executive Assistant / Administrative Coordinator will play a significant role as Lafayette Academy continues its growth as a premier classical school in the St. Louis region. Not only does this position serve as a “right hand” to the Founder / Head of School, but furthermore will utilize the EA/AC’s skillset by leaning into skills beyond that of a typical Administrative Assistant. This is the ideal opportunity for the administratively gifted individual who is looking to spread their wings a little further.

Position Summary

Reporting to the Founder / Head of School, the Executive Assistant / Administrative Coordinator plays a crucial role in ensuring the smooth operation of our executive office. The ideal candidate is a highly organized administrative professional with experience supporting non-profit executives and possesses exceptional attention to detail and time management skills.

Key Responsibilities:

Administrative (70%)

  • Meeting management including preparing agendas, printing financial reports, taking notes, distributing action items, and arranging catering
  • Communicating on the Founder’s behalf both internally and externally
  • Email management on behalf of the Founder
  • Assign emails to team members as needed
  • Attend board meetings as recording secretary for meeting minutes and post minutes to Board’s One Drive promptly
  • Running errands and attending in person meetings multiple times per week
  • Maintain complex calendar management and scheduling (both personally and professionally) on behalf of the Founder and Leadership Team
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Varying personal and professional administrative tasks including, but not limited to, booking appointments, research projects, coordinating travel, and ordering gifts/flowers, etc.
  • Light project management
  • Draft, review and send communications on behalf of company executive(s)
  • Answer and respond to phone calls, communicate messages and information to the executive
  • Prioritize emails and respond when necessary
  • File/maintain various records and documents

Human Resources (15%)

  • Collect and file employment contracts
  • Enter Employee data into Gusto
  • Assist with light onboarding tasks for new employees
  • Assist with off boarding tasks when needed

Fundraising (15%)

  • Support Development Director with Event/Gala Planning, managing donor projects, collecting marketing collateral, sending follow ups, sending packages to donors, creating agendas, and setting/managing appointments for donor meetings

Qualifications

  • Mission Alignment
  • Bachelor’s degree strongly preferred but not required.
  • Minimum of 7 years as an executive office assistant.
  • Proficient in Microsoft Office Suite 365, One Drive, Click Up.
  • Exceptional attention to detail.
  • Strong time-management skills.
  • Excellent ability to clearly communicate verbally and in writing.
  • Exemplify qualities of honesty, trustworthiness, initiative, creativity, tenacity, diligence, and dependability.

Salary & Benefits

Compensation for the Executive Assistant / Administrative Coordinator includes a competitive salary commensurate with experience and a package of employee benefits which include medical, dental, vision, professional development, leave and holidays.
