Position Overview

The successful execution of a project hinges on effective planning and implementation. The Project Controls Analyst plays a pivotal role in managing project metrics, including budget, timeline, and resource allocation, alongside workflow, documentation, and communication. This role is designed to assist Project Managers by employing cost management processes and tools to oversee project expenditures and schedules, while also identifying and mitigating potential risks that could affect project outcomes, all while ensuring adherence to quality and documentation standards.

Your Responsibilities
  • Comprehensively understand the project scope;
  • Actively engage in the formulation of project estimates, proposals, budgets, and timelines;
  • Collaborate closely with the project team to maintain an up-to-date and accurate view of project status, challenges, and modifications;
  • Effectively communicate with internal team members, leadership, financial managers, external clients, and consultants;
  • Generate clear, timely, and actionable reports;
  • Remain vigilant and keep the project team informed of any obstacles to budget and schedule adherence;
  • Coordinate with the financial team to issue timely project invoices, follow up on accounts receivable, and oversee consultant budgets and agreements;
  • Understand and enhance project control processes and systems.

Project Management Support
  • Assist Project Managers in ensuring compliance with internal and ISO standards, including participation in audits;
  • Organize, attend, and document project meetings, tracking action items and deliverables;
  • Create and maintain project plans, schedules, and deliverables;
  • Manage subconsultant agreements, insurance, invoicing, and prequalification checks;
  • Coordinate and compile specifications and reports, ensuring quality and adherence to client standards.

Financial Management Support
  • Develop financial forecasts with detailed backup and risk assessments;
  • Create tailored cost control and tracking reports or dashboards;
  • Conduct project financial performance analysis and scenario planning;
  • Prepare client financial reports and earned value assessments.

Document Control Support
  • Establish and manage project SharePoint sites;
  • Schedule quality reviews and oversight sessions;
  • Package submissions and track deliverables;
  • Manage logs for RFIs, submittals, correspondence, and documents;
  • Utilize tools such as Planner and Power Automate for task assignments and reminders.

Proposal and Business Leadership Support
  • Prepare financial and utilization reports, alerting leadership to trends and anomalies;
  • Collaborate with finance and leadership to monitor budget variances;
  • Assist with periodic revenue forecasts and budgeting;
  • Support and participate in various team and office committees.

Qualifications

Skills and Credentials
  • Proficiency in MS Office, particularly advanced Excel skills.
  • Exceptional written and verbal communication skills.
  • Ability to manage multiple tasks and projects simultaneously, prioritizing effectively.
  • Experience in the A/E industry is preferred.
  • Previous experience in project controls or as a project assistant is advantageous.
  • Familiarity with financial/cost systems and scheduling software is a plus.

Education and Experience
  • Bachelor's degree required, preferably in finance, business, engineering, or a related field, with relevant coursework in project management or finance.
  • A minimum of 3 years of experience in project and program management.
  • 2-5 years of experience in financial analysis and project controls throughout the project lifecycle.
