The Office Administrator will provide administrative support to the Ghafari office in Fort Worth, TX. This role will serve as a liaison for various office functions, including document management, vendor coordination, and general office duties.
Key Responsibilities- Perform general administrative tasks, including copying, scanning, faxing, and emailing.
- Manage FedEx, UPS, and USPS activities.
- Order and maintain office supply inventory.
- Act as a liaison for office maintenance, including landlord issues and vendor coordination.
- Review and approve local invoices.
- Organize business travel arrangements for Fort Worth staff.
- Lend support to the Director – Fort Worth Office in project preparation and editing.
- Manage bid phase documentation for Fort Worth projects.
- Assist in the management of construction administration documentation for Fort Worth projects.
- Manage document releases for all projects originating in the Fort Worth Office.
- Create, proofread, and format proposals and specifications.
- Assist the Ghafari Marketing team in proposal preparation and project promotion.
- Provide reception support and communicate with clients and staff.
- Stay current with company policies and procedures.
- Bachelor's degree in a related field preferred.
- Minimum 5 years of experience in an administrative assistant capacity.
- Previous experience in an architecture, engineering, or construction firm.
- Advanced skills in Microsoft Office, Adobe, and Deltek software.
- Excellent communication and organizational skills.
- Ability to work independently and on a flexible schedule.
