This role is essential in enhancing departmental efficiency by serving as the bridge between various teams, staff members, and external partners. The individual in this position will be tasked with maintaining an orderly office environment, conducting research, performing administrative duties, and providing assistance as required. The Community Programs Administrator is pivotal in ensuring the seamless operation of the Mission Programs department by managing all administrative responsibilities. This position will oversee general operations, act as a liaison for both employees and clients, and guarantee that all tasks are completed on time to meet or surpass established deadlines.


Key Responsibilities:
Core Functions:

- Engage actively in community outreach initiatives and event coordination, which includes managing clerical tasks, scheduling events, and facilitating communication with the public and partners.

- Support the Mission Programs Manager in the creation of new community initiatives, fostering new partnerships, and enhancing existing programs.

- Represent the Mission Programs department in both workplace and public environments.

- Assist with volunteer training and scheduling within the Mission Programs department.

- Transport materials and supplies to various community locations as necessary.

- Participate in and support Mission Program services, including but not limited to community outreach events.

- Aid in event preparation and ensure meeting spaces are reserved in advance.

- Assist with inventory management of Mission Programs equipment and supplies, and place orders as needed.

- Collaborate professionally with other departments to coordinate schedules, secure staff for events, and recruit volunteers.

- Provide support to the accounting department by managing invoices, payments, and receipts.

- Represent department managers in meetings, including note-taking and documentation.

- Serve as the primary contact for the Mission Programs department, addressing inquiries from customers and the public.

- Compile information and assist with data entry to monitor Mission Program services and generate reports.

- Maintain medical records in compliance with veterinary standards.

- Input data into automated systems, ensuring accuracy and thoroughness.

- Organize records systematically for efficient filing.

- Prepare correspondence and documents, ensuring they are free from errors.

- Flexibility to work weekends and holidays may be required.

- Some remote work may be necessary.


Additional Responsibilities:

- Provide backup support to other administrative staff as needed.

- Perform related duties as assigned.


Qualifications:

- Strong communication and interpersonal skills; bilingual in English and Spanish is highly preferred.

- Minimum of one year of experience in customer service.

- Proficient in Microsoft Office Suite, including Word, PowerPoint, and Excel.

- Familiarity with business email platforms, such as Microsoft Outlook.

- Experience with standard office equipment.

- Ability to manage multiple tasks efficiently in a fast-paced environment.

- Highly organized with the capability to develop user-friendly organizational systems.

- Valid Florida driver's license with a good driving record.

- Ability to work weekends and holidays as needed.

- Commitment to providing excellent service to customers and animals.

- Strong problem-solving skills and critical thinking abilities.

- Knowledge of humane animal care practices.


Physical Requirements:

- Moderate physical effort, including lifting or moving items up to 25 lbs regularly and up to 50 lbs occasionally.

- Ability to stoop, kneel, bend, and crouch.

- Capacity for walking and prolonged standing.


Other:

- Reliable transportation is required.

- Ability to pass background checks.

- Willingness to perform additional duties as assigned.
