Salary Range: $60,000 to $78,000 annually.

Employment Type: 1.0 FTE (40 hours per week), non-exempt, Monday to Friday, 9AM-5PM

Position Title: Payroll Specialist

Reports To: Director of People & Culture

Department: People & Culture Division

MHAAO is seeking a dedicated Payroll Specialist to become part of our organization. This role is pivotal in managing all payroll-related tasks within the organization. The ideal candidate will demonstrate a strong commitment to the mission of MHAAO and will engage respectfully and positively with all staff, stakeholders, and community members.

Key Responsibilities

  • Administer and execute multistate semimonthly payroll processing.
  • Support data entry for new employee onboarding.
  • Handle payroll for terminated employees and manage manual check calculations.
  • Investigate employee payroll inquiries and provide timely responses.
  • Assist with annual merit increases and other payroll adjustments.
  • Contribute to special projects as needed.
  • Review bi-weekly and special payroll submissions.
  • Process wage garnishments and child support requests.
  • Maintain organized payroll documentation and storage.
  • Report to 401k, HSA, and FSA providers.

Required Qualifications

  • 3 to 5 years of experience in high-volume payroll management (100+ employees).
  • Experience in accounting and human resources is advantageous.
  • Proficient in ADP Workforce Now and related time and attendance systems.
  • Experience with payroll and benefits-related journal entries in accounting software (e.g., QuickBooks Online, Sage Intacct, NetSuite).
  • Familiarity with wage and hour regulations.
  • Knowledge of Oregon and Washington state and federal tax laws.
  • Energetic, engaging, and enjoys teamwork.
  • Experience with time and attendance administration.
  • Strong analytical skills and attention to detail.
  • Excellent organizational abilities and flexibility to manage multiple tasks.
  • Effective written communication skills.

Skills and Competencies

  • Proficient in standard office software including Google Docs, Word, Excel, Adobe Acrobat, and PowerPoint.
  • Exceptional oral and written communication skills in English.
  • Able to prioritize tasks and manage assignments in a fast-paced environment.
  • Willingness to work overtime when necessary.
  • Thorough understanding of full payroll processes and pre-tax deductions.
