Position Overview: The Supervisor for Records Management and Policy Procedures engages in complex administrative responsibilities, focusing on the planning, coordination, and management of projects related to these areas. This role also encompasses limited support tasks related to Data Governance and Data Cleansing as required.

Key Responsibilities:

  • Records Management: Oversee and coordinate the daily activities of team members.
  • Document procedures and training materials for staff.
  • Plan, schedule, and assign tasks to ensure project milestones are achieved.
  • Perform duties of subordinate roles when necessary.
  • Prepare weekly executive updates and quarterly reports on project statuses, including audit reporting.
  • Review individual and project reports for accuracy and compliance.

Policy and Procedures: Conduct thorough research to understand business processes and support operational needs.

  • Manage policy and procedure documentation governance.
  • Coordinate updates with the Policy Governance Committee.
  • Track modernization procedures and exception resolutions.
  • Develop and maintain documentation for non-modernization processes.
  • Facilitate meetings with executive management, stakeholders, end users, and technical teams.
  • Provide weekly executive updates and quarterly reports on project statuses, including audit reporting.

Data Governance/Data Cleansing: Define and approve business terms.

  • Support newsletter publication efforts.
  • Maintain a high-level understanding of data governance objectives to aid in reporting.

Minimum Qualifications:

  • A bachelor's degree from an accredited institution, including or supplemented by 12 credits in mathematics, statistics, accounting, or actuarial science, along with four years of relevant experience, including 18 months in a supervisory or managerial role.
  • An associate degree or 60 credits from an accredited institution, including or supplemented by 12 credits in mathematics, statistics, accounting, or actuarial science, with six years of relevant experience.
  • Equivalent education and/or experience as described above, with all candidates required to have 60 credits from an accredited institution, including or supplemented by 12 credits in mathematics, statistics, accounting, or actuarial science, and 18 months of supervisory experience.

Preferred Skills:

  • Proficiency in MS Office, particularly advanced skills in MS Excel.
  • Strong communication, interpersonal, analytical, and organizational abilities.
  • Capability to manage multiple tasks concurrently.
  • Self-motivated and able to work independently.
  • Ability to create plans and manage work in a dynamic environment.
