Position Overview:
The Records Management/Policy and Procedures Supervisor is responsible for overseeing a range of administrative functions that require varying levels of complexity and accountability. This role includes the planning, coordination, research, and management of all initiatives related to records management and policy development.

Key Responsibilities:
Under general supervision, this position allows for significant independent judgment and action in performing supervisory and administrative tasks within the Work Area, including:

  • Records Management:
    Directs and manages the daily operations of team members.
    Documents operational procedures and training materials for staff.
    Plans, organizes, and assigns work to ensure project milestones are achieved.
    May assume responsibilities of subordinate roles as needed.
    Prepares weekly executive summaries and quarterly reports on project statuses, including audit updates.
    Reviews individual and project reports for accuracy and compliance.
  • Policy and Procedures:
    Conducts thorough research to understand business processes and support organizational objectives.
    Oversees the governance of policy and procedure documentation.
    Coordinates updates and revisions of policies through the Policy Governance Committee (PGC).
    Monitors modernization procedures and resolves exceptions.
    Develops and maintains documentation for non-modernization processes.
    Facilitates meetings with executive management, stakeholders, end users, business analysts, architects, and developers.
    Prepares weekly executive summaries and quarterly reports on project statuses, including audit updates.
  • Data Governance/Data Cleansing:
    Defines and approves business terminology.
    Supports the publication of newsletters.
    Maintains a comprehensive understanding of data governance objectives to aid in reporting.

Minimum Qualifications:
1. A bachelor's degree from an accredited institution, including or supplemented by 12 credits in mathematics, statistics, accounting, or actuarial science, along with four years of relevant full-time experience in retirement plan administration involving mathematical, statistical, actuarial, or accounting computations, with at least 18 months in a supervisory or managerial capacity; or

  • An associate degree or 60 credits from an accredited institution, including or supplemented by 12 credits in mathematics, statistics, accounting, or actuarial science, with six years of relevant full-time experience as indicated above; or
  • Equivalent education and/or experience as described in options 1 or 2, with all candidates required to have 60 credits from an accredited institution, including or supplemented by 12 credits in mathematics, statistics, accounting, or actuarial science, and 18 months of supervisory or managerial experience.

Preferred Skills:
Proficiency in MS Office, particularly advanced skills in MS Excel.
Strong communication, interpersonal, analytical, and organizational abilities.
Capability to manage multiple tasks concurrently.
Self-motivated and able to work independently.
Ability to develop strategic plans and manage work in a dynamic environment.
