Position Overview

The Princeton University Art Museum is seeking an Associate Registrar to assist in managing exhibition and loan operations within a dynamic and collaborative setting. Reporting directly to the Chief Registrar, this role encompasses overseeing outgoing international loans and managing multiple exhibitions throughout the year, some of which may travel to various national and international locations. The Associate Registrar will collaborate closely with curators, project managers, preparators, conservators, and fellow registrars, while also engaging with borrowers, lenders, insurance representatives, and shipping agents.

About the Museum

Established in 1755, the Princeton University Art Museum is recognized as one of the premier university art museums in the United States, housing an extensive collection of over 115,000 artworks that span from ancient to contemporary periods across the globe. The Museum is dedicated to supporting the University’s educational and research objectives and serves as a vital center for the humanities, welcoming visitors from around the world. Currently, the Museum showcases exhibitions in its downtown venues and is actively involved in national and international touring exhibitions. The upcoming opening of a newly redesigned building is set to enhance the Museum's exhibition offerings.

Key Responsibilities

  • Manage Outgoing Loans: Prepare artworks for outgoing loans by creating necessary documentation such as insurance papers, borrower's agreements, condition reports, and crate requests. Coordinate the loan process with internal and external partners, including curators and shipping vendors.
  • Facilitate Incoming Loans: Oversee the preparation of incoming loans by generating required documents and managing the loan process with lenders and various stakeholders.
  • Coordinate Exhibition Loans: Forecast costs associated with loans, develop budgets for transportation, and manage the logistics of artwork installation. Ensure all loan activities are organized and documented accurately.
  • Documentation and Compliance: Prepare and maintain all necessary registrarial documents, including condition reports and loan agreements, ensuring compliance with best practices in art handling and shipping.

Qualifications

Essential:

  • Bachelor's degree with 3-5 years of relevant experience in museum registration and administration.
  • Proficient in MS Office Suite and experienced with relational databases, particularly The Museum System (TMS).
  • Demonstrated experience in managing domestic and international art shipments.
  • Strong organizational, communication, and interpersonal skills.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.

Preferred:

  • Master's degree in Art History, Museum Studies, or a related field.
  • Experience with digital photography and software such as Photoshop.
