Job Summary:

We are seeking a highly motivated and organized Administrative Assistant to join our team in a full-time capacity. The successful candidate will provide administrative support to the Divisional Social Services Department, ensuring the smooth operation of day-to-day activities.

Key Responsibilities:
  • Administrative duties, including coordinating logistics, managing calendars, organizing meetings, prioritizing mail, handling phone calls, receiving messages, composing emails and correspondence.
  • Clerical duties, including preparing meeting minutes, providing clerical support to the Contract Compliance Specialist, arranging and participating in designated meetings, team projects, and seasonal activities.
  • Information management duties, including maintaining confidentiality of all written/verbal communications and information, maintaining program files according to standardized filing methods, purging records according to disposition of file procedures, entering paper files into electronic document storage system in a systematic manner to ensure ease in file retrieval.
Requirements:
  • Minimum two-year college degree in administrative studies or related field; relevant experience in lieu of degree will be considered.
  • Minimum four years' clerical/administrative experience; prefer previous experience in social services setting.
  • Proficient verbal and written communication skills in Standard English.
  • Time management skills and ability to handle multiple demands and priorities.
  • Strong teamwork and interpersonal skills.
  • Sound judgment, problem-solving, and conflict resolution skills.
  • Ability to multi-task in order to meet varied project and reporting deadlines.
  • Ability to work with people of diverse racial, ethnic, and socioeconomic backgrounds in a sensitive and culturally appropriate manner.
  • Ability to work with minimal supervision.
  • Proficient in computer software applications such as MS Office, Excel, Power Point, and Access.
Working Conditions:

This role is performed in a typical office environment with a moderate number of interruptions and job-related stress factors.

Estimated Salary:

$50,000 - $60,000 per annum.
