Job Summary

The Recruiting Coordinator plays a critical role in the Ventas Human Resources team, responsible for coordinating and scheduling candidate interviews, managing offer letters and contracts, and administering pre-employment assessments. This position requires strong organizational and communication skills, with the ability to work across functions and ensure the successful hiring of top talent.

Key Responsibilities
  • Candidate Interview Coordination: Schedule and track candidate interviews, including booking travel arrangements as needed, and organize post-interview debrief/feedback meetings with interview teams.
  • Offer Letter and Contract Management: Produce and maintain offer letters and contracts using DocuSign and internal systems, ensuring documents are completed and saved appropriately.
  • Pre-Employment Assessments: Administer pre-employment candidate assessments and maintain accurate records.
  • Interview Guide Development: Create and provide behavioral-based interview guides to interviewers.
  • Background Checks and Drug Screenings: Request, monitor, and follow up on pre-employment background checks and drug screenings.
  • Staffing Contracts and Resources: Maintain staffing contracts and recruitment resources, and coordinate new vendor setup.
  • Applicant Tracking System Administration: Assist with the system administration of the applicant tracking system.
  • Recruiting Marketing Efforts: Assist with recruiting marketing efforts, including attending on-site campus career fairs and posting open positions to college job boards.
  • Summer Internship Program Coordination: Assist in coordinating the Summer Internship Program.
  • Process Improvement: Make recommendations on improving recruitment, new hire, and other HR processes.
  • Additional Projects: Assist with other projects as needed.
Requirements
  • Education: Bachelor's degree strongly preferred.
  • Experience: A minimum of 1 year experience in recruiting, human resources, or administration.
  • Technical Skills: Knowledge and prior experience with applicant tracking systems, specifically Workday, a plus but not required.
  • Soft Skills: Collaborative, flexible work style; willingness to reach out to stakeholders to gather necessary information; excellent follow-up skills; strong organization, detail orientation, and problem-solving skills; excellent verbal and written communication; fast learner; proficient with Outlook Calendaring, Word, Excel, and general ease with technology.
