Administrative Coordinator

To facilitate the operations of our esteemed immigration law practice, Cammisa Markel PLLC is in search of a seasoned Administrative Coordinator. This role is pivotal in ensuring seamless office functionality while providing exceptional support to our Principal. Compensation:
- Salary range: $60,000 - $70,000 based on experience

Key Responsibilities
• Provide comprehensive administrative support to the Principal, including calendar management, email correspondence, appointment scheduling, and meeting coordination.
• Serve as a communication bridge between the Principal and both internal and external parties, ensuring professionalism and confidentiality.
• Draft and refine correspondence, reports, and presentations with meticulous attention to detail.
• Organize travel logistics and accommodations, focusing on efficiency and cost-effectiveness.
• Supervise the inventory of office supplies and equipment, proactively addressing any requirements.
• Assist with client onboarding processes and maintain accurate client records utilizing the legal case management system.
• Contribute to the firm's marketing initiatives by organizing events, managing social media platforms, and aiding in content development.
• Formulate and implement social media strategies to enhance the firm's digital footprint and engagement.
• Generate and schedule content across various social media channels, including LinkedIn, Instagram, Twitter, and Facebook.
• Evaluate social media performance metrics and provide insights on campaign effectiveness.
• Collaborate with team members to optimize workflows and enhance operational efficiency.
• Oversee office facilities and vendor relations, ensuring a clean and productive work environment.
• Manage financial administrative tasks including accounts payable and receivable, as well as expense reporting.
• Establish and uphold office policies and procedures to ensure efficiency and compliance.
• Welcome clients and provide hospitality, fostering a professional atmosphere in the office.
• Manage the Principal's email communications, responding on their behalf while maintaining professionalism and accuracy.
• Answer incoming calls, screen and direct inquiries, and take messages as necessary.
Qualifications
• Bachelor's degree preferred.
• Minimum of 3 years' experience in an administrative support role, ideally within a legal or professional services context.
• Proficiency in legal case management systems is essential.
• Exceptional organizational and time management abilities, with a capacity to prioritize tasks effectively in a dynamic environment.
• Strong interpersonal skills with the ability to communicate proficiently across various levels.
• Advanced knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
• Proactive problem-solving capabilities and the initiative to anticipate needs.
• Experience in expanding small to medium-sized law firms is highly valued.
• Ability to maintain confidentiality and discretion at all times.
• Familiarity with social media management and digital marketing techniques.
• Competence in using social media analytics tools and interpreting data.
