Job Overview

Position: Payroll Specialist

Department: Disbursement Services

St. Edward's University in Austin, Texas, is seeking qualified candidates for the role of Payroll Specialist. This position is pivotal in ensuring payroll is processed accurately and in alignment with the established policies and procedures of the University. The Payroll Specialist will handle the processing of student payroll, as well as hourly non-exempt and exempt payroll cycles, occurring bi-monthly. This role requires collaboration with the Payroll Manager and demands a keen attention to detail, along with the ability to uphold confidentiality regarding employment records.


Qualifications:

  • A Bachelor's degree in a financial discipline (such as accounting or business) along with two years of relevant experience, or four years of experience in a related field.
  • A minimum of two years of experience in payroll processing is required.
  • Exceptional organizational skills, with the ability to work independently and make sound decisions. Strong written and verbal communication skills are essential for maintaining positive relationships.
  • Comprehensive knowledge of general ledger systems, procedures, and financial chart of accounts. Familiarity with international tax and payment systems is advantageous.
  • Ability to prioritize and manage a high volume of tasks effectively.
  • Demonstrated integrity and the capacity to handle sensitive and confidential information.
  • Excellent communication abilities.

Key Responsibilities:

  • Execute bi-monthly payroll processing, which includes student, hourly non-exempt, and exempt payrolls.
  • Support the Payroll Manager in managing data within the Arctic International GLACIER system, ensuring compliance with taxation for foreign employees, students, and University vendors.
  • Conduct data entry with a focus on accuracy and completeness for review by the Payroll Manager and department Director.
  • Generate reports and provide data for review post-payroll processing.
  • Disseminate university-wide communications regarding payroll deadlines.
  • Address departmental inquiries, including employee verification and W-2 requests.
  • Collaborate with cross-functional teams to resolve payroll-related issues.
  • Understand and troubleshoot the current timekeeping system.
  • Assist with compliance reporting and processing, including audits and W-2 processing.
  • Support management during fiscal year-end close procedures and audits.
  • Participate in testing ERP system upgrades related to payroll and operations.
  • Help maintain and update departmental process and procedure manuals.
  • Work with the Payroll Manager to identify and implement payroll process improvements.
  • Assist in training and troubleshooting payroll processes.
  • Ensure up-to-date information and training materials are available for public access across multiple platforms.
  • Deliver high-quality customer service to all university departments.
  • Maintain confidentiality and demonstrate integrity when handling employee information.
  • Ensure compliance with regulatory and policy requirements relevant to the position.
  • Perform additional duties as assigned.
