St. Edward's University in Austin, Texas, is seeking qualified candidates for the role of Payroll Specialist. This position entails overseeing payroll functions in alignment with the established guidelines of St. Edward's University. Responsibilities include managing payroll for students, as well as hourly non-exempt and exempt employees, on a bi-monthly basis. The Payroll Specialist will collaborate closely with the Payroll Manager and must exhibit meticulous attention to detail while ensuring confidentiality in handling employment records.


Qualifications Required:

  • A Bachelor’s degree in a financial discipline (such as accounting or business) accompanied by two years of relevant experience, or four years of experience in a related field.
  • A minimum of two years of experience in payroll processing is essential.
  • Exceptional organizational skills with the ability to operate independently and make informed decisions. Strong written and verbal communication skills are required to foster positive working relationships.
  • Comprehensive understanding of general ledger systems, procedures, and financial charts of accounts. Familiarity with international tax and payment processes is advantageous.
  • Ability to prioritize tasks effectively and manage a high volume of work.
  • Demonstrated integrity and the capability to handle sensitive and confidential information responsibly.
  • Excellent communication abilities.

Key Responsibilities Include:

  • Execute bi-monthly payroll processing, which includes student, hourly non-exempt, and exempt payrolls.
  • Assist the Payroll Manager in ensuring accurate management of data within the Arctic International GLACIER system, in partnership with Student Business Services for the correct taxation of foreign employees, students, and university vendors.
  • Conduct data entry to ensure completeness and accuracy for review by the Payroll Manager and department Director.
  • Provide data and reporting following the completion of each payroll cycle.
  • Communicate university-wide payroll deadlines effectively.
  • Address departmental inquiries, including employee verification and W-2 requests.
  • Collaborate proactively with cross-functional teams to resolve payroll-related issues.
  • Understand and troubleshoot the current timekeeping system.
  • Assist with compliance reporting and processing, including audits and W-2 processing.
  • Support management during fiscal year-end close procedures and audit activities.
  • Participate in testing ERP system upgrades related to payroll and operations.
  • Help maintain and update departmental process and procedure manuals.
  • Work with the Payroll Manager to identify and implement payroll process enhancements.
  • Assist in training and troubleshooting payroll processes.
  • Keep public information and training materials current across multiple platforms.
  • Deliver high-quality customer service to all university departments.
  • Uphold the highest standards of integrity and confidentiality when managing employee information.
  • Ensure compliance with relevant regulations and policies as they pertain to the role.
  • Perform additional duties as assigned.
