Job Overview

We are in search of an Administrative Operations Coordinator to assist in the efficient management of our daily office and warehouse activities, including the oversight of procurement processes.

The ideal candidate will be expected to handle a variety of responsibilities while maintaining a positive demeanor, even during busy periods. Attention to detail is crucial as you will be managing various products, vendors, and job sites. This role offers the opportunity to enhance and streamline our operational processes with comprehensive support from our team.

Warehouse Responsibilities:
  • Ensure the office is stocked with necessary supplies (kitchen, restroom, printing, office equipment, etc.)
  • Maintain an organized warehouse according to our established layout (shelves, cabinets, etc.)
  • Restock and arrange warehouse supplies for field jobs
  • Manage incoming and outgoing mail and distribute accordingly
  • Receive packages from various delivery services and organize them
  • Sort and categorize equipment/products by job site/client using a color-coding system
  • Assist in the implementation of new warehouse procedures for accurate record-keeping in our inventory system
Procurement Duties:
  • Create and manage purchase orders
  • Log packing slips for received items into our inventory system
  • Process returns and exchanges by coordinating with vendors
  • Order supplies for the office and warehouse as necessary
  • Ensure the correct equipment is ordered for projects
  • Facilitate packing, shipping, or pulling of equipment as required
  • Assist office staff with warehouse and purchasing needs
Office Support Tasks:
  • Run errands to pick up supplies and equipment from vendors
  • Collect food orders for the office
  • Drive company vehicles for maintenance or deliveries
Vehicle Management:
  • Organize and maintain stock in company vehicles weekly
  • Keep vehicles clean and well-maintained
  • Schedule maintenance appointments for company vehicles
eBay Operations:
  • Follow established procedures for selling items on eBay
  • Organize all items designated for sale in one location
  • Ensure accurate descriptions for eBay listings
  • Pack and ship items sold on eBay efficiently
  • Respond promptly to inquiries from potential buyers
  • Resolve any disputes to maintain seller ratings
Qualifications:
  • High School Diploma or equivalent preferred
  • Proficient in computer usage (Mac and Windows)
  • Quick learner of new software
  • Ability to prioritize and multitask effectively
  • Strong written and verbal communication skills
  • Positive attitude towards changes in the workplace
  • Exceptional attention to detail
  • Strong organizational capabilities
  • Ability to work collaboratively under pressure
  • Must possess a clean driving record for insurance purposes
Physical Requirements:
