Job Description

The Administrative Coordinator/Receptionist plays a vital role in client engagement and treatment facilitation. This position involves scheduling clients for evaluations, follow-ups, and psychotherapy appointments, while also handling other tasks related to the intake process. You will respond to outpatient referrals, collect demographic and insurance data, verify coverage, and ensure seamless coordination between patients, clinicians, and external agencies. This role requires delivering quality customer service and maintaining timely responses to all inquiries.

Responsibilities
  • Schedule new clients for initial evaluations and follow-up appointments.
  • Respond to inquiries about outpatient services and gather preliminary client information.
  • Verify insurance coverage, obtain authorizations, and enter relevant data into the electronic health record (EHR) system.
  • Act as a liaison between patients, families, representatives, agencies, and referrers.
  • Coordinate with other offices to ensure timely responses and a high level of customer service.
  • Ensure all calls and written referrals are responded to within 24 hours.
  • Generate reports, edit documents, and manage logs for quality monitoring.
Qualifications
  • Bachelor's degree (preferred), with 2 years of front desk experience in an OMHC.
  • Proficient in using Windows-based personal computers and Microsoft Office Suite.
  • Knowledge of mental health issues, terms, and EHR systems such as ICanote.
  • Ability to multitask in a fast-paced healthcare environment.
  • Strong organizational and time management skills with excellent attention to detail.
  • Exceptional verbal and written communication skills, and the ability to interact effectively with clients and professionals.
  • Ability to work with a diverse population, including clients with serious and persistent mental illness.
  • Knowledge of COMAR and CARF standards.
  • Analytical skills to manage client data, resolve issues, and handle administrative duties.
  • Familiarity with medical and insurance documentation.
  • Prior experience in customer service (5 years preferred).
