Job Overview

We are looking for a meticulous and proactive Office Operations Coordinator to enhance our team. In this pivotal role, you will facilitate the smooth functioning of our office environment. This position demands exceptional communication abilities and adept multitasking skills.

Key Responsibilities:

  • Project initiation. Accurately input new project details into our management system. Upload relevant documentation such as setup sheets, proposals, and contracts. Create necessary folders on the server.
  • Invoice management. Timely prepare invoices and collaborate with project leads to adhere to monthly invoicing schedules. Generate budget reports for review by the Office Manager. Ensure invoices and budget reports are dispatched to clients promptly.
  • Support accounts receivable by following up on invoices and sending account statements to clients.
  • Oversee office supplies and materials management.
  • Organize departmental information, including maintaining active job lists, marketing documents, vehicle schedules, employee directories, etc.
  • Handle incoming calls with professionalism, directing callers to the appropriate personnel.
  • Assist in preparing expense reports for the office.
  • Coordinate new employee onboarding, acting as a liaison between IT support and Human Resources.
  • Additional responsibilities may arise as we adapt to better support our team in delivering high-quality services to our clients.

Qualifications:

  • Demonstrated experience as an office coordinator or in a comparable position.
  • Proficient in standard office software, including Microsoft Office Suite (Word, Excel, PowerPoint).
  • Exceptional organizational skills with the capacity to prioritize tasks effectively.
  • Strong verbal and written communication skills.
  • Attention to detail and effective problem-solving capabilities.
  • Ability to work autonomously with minimal oversight.
