Job Summary:

As an Admin Assistant/Onsite Service Specialist, you will be responsible for a variety of tasks, including:

  • Managing mail systems and ensuring timely delivery of incoming and outgoing mail
  • Operating high-volume duplicating and document imaging equipment
  • Providing support for various office functions, including customer service and meeting room setups
  • Maintaining inventory records and distributing office supplies and mail
  • Performing light maintenance duties and troubleshooting office equipment
Responsibilities:

Some of your key responsibilities will include:

  • Efficiently processing incoming mail from USPS, UPS, and FedEx
  • Utilizing TRAC system to receive and track accountable mail
  • Managing outgoing accountable mail using and systems
  • Maintaining meticulous logs to record mail counts and other essential details
  • Conducting mail deliveries to various floors throughout the building
  • Providing support with light fleet duties, such as toner replacement and troubleshooting
  • Operating high-volume copy machines and performing finishing tasks, such as binding
  • Utilizing document imaging systems and software efficiently
  • Managing office tasks using MS Office and email systems
  • Performing maintenance checks on copiers and troubleshooting issues as needed
  • Maintaining inventory records and distributing office supplies and mail
  • Coordinating service calls and responding to customer inquiries
  • Handling shipping and receiving tasks, including calculating charges for services
  • Assisting with meeting room setups and building occupant moves
  • Performing occasional cleaning and light maintenance duties
  • Operating various office equipment, such as shrink-wrap machines, paper cutters, and postage meters
  • Conducting filing duties, including archiving old documents when necessary
Requirements:

To be successful in this role, you will need:

  • A driver's license with a good driving record
  • The ability to speak, read, write, and communicate verbally and in writing in the English language
  • Computer skills, which would be a great asset for potential upward career paths
  • Proficiency in operating office equipment and software systems
  • Strong organizational and multitasking skills
  • The ability to communicate effectively with customers and team members
  • Attention to detail and the ability to maintain accurate records
  • Flexibility to work occasional overtime, including nights and weekends
  • Physical capability to perform light maintenance tasks as required
