Job Summary

The Office of Student Protections (OSP) at Chicago Public Schools is seeking a highly organized and detail-oriented Part-Time Administrative Assistant to provide administrative support to the Coordination Unit. The successful candidate will be responsible for providing exceptional customer service, maintaining confidentiality, and ensuring the smooth operation of the unit.

Key Responsibilities
  • Provide administrative support to the Coordination Unit, including preparing documentation, filing, and data entry.
  • Assist the Executive Director and Managers with various tasks, such as preparing reports, presentations, and correspondence.
  • Carry out administrative duties, including scanning, binding, and photocopying documents.
  • Write and distribute emails, memos, and letters as needed.
  • Assist with creating and maintaining referral forms, presentation decks, and intranet pages.
  • Support the preparation of Freedom of Information Act (FOIA) requests.
  • Maintain the OSP General Email Box, referring complaints to the appropriate team and department as needed.
  • Organize and preserve documents, both electronically and in paper files.
  • Perform other related duties as required.
Requirements
  • High school diploma or GED equivalent.
  • Bachelor's degree from an accredited college or university, preferred.
  • Minimum of two years of professional experience in a high-volume environment, preferably in a call center or hotline environment.
  • Previous experience working with sensitive information and maintaining confidentiality.
  • Valid State of Illinois driver's license.
  • Flexible availability during non-operating hours.
  • Language fluency in both English and Spanish, preferred.
Preferred Qualifications
  • Knowledge of Google Suite applications (Gmail, Google Docs, Spreadsheets, Forms, etc.).
  • Knowledge of Word, Microsoft Office, Excel, and E-filing software.
  • Excellent customer service skills.
  • Ability to work in a high-volume, deadline-driven environment.
  • Excellent organizational skills and ability to multitask.
  • Demonstrated ability to manage heavy workloads and meet short deadlines.
  • Knowledge of conflict resolution, problem-solving techniques, crisis intervention, cultural responsiveness, and trauma-informed practices.
  • Interpersonal skills and ability to work with a wide range of people, including children, parents, faculty, staff, child protection investigators, and law enforcement.
