Proposal Response Coordinator

The RFP Support Specialist plays a crucial role in delivering technical answers to Requests for Information (RFI) and Requests for Proposal (RFP) related to the licensed offerings of SOFT COMPUTER CONSULTANTS. This position collaborates closely with various departments including Legal Counsel, Sales Support, Telemarketing Support, Regional Sales Managers, Product Managers, and Program Managers.
Key Responsibilities:
- Manage all necessary actions to effectively handle an RFI/RFP, which includes creating a TMS Task, documenting the RFP/RFI in the workload SmartSheet, and conducting an initial assessment of the document to identify specific requirements and assign suitable responders.
- Upload response documents to MS Teams for coordination and collaboration among responders. Inform all necessary team members about the location of the response documents and the deadlines for submissions.
- Collaborate with the Sales Department to ascertain the licensed software being proposed and ensure the generation of a cost proposal.
- When time allows, assist in drafting responses by incorporating standard text from the library into the response document on MS Teams. Identify items needed for attachments and enclosures, as well as configuration-dependent functionalities.
- Conduct a primary review of the response documents, ensuring accuracy in spelling, grammar, correctly labeled attachments, and completeness of all text responses.
- Perform or assist with desktop publishing to ensure compliance with the instructions outlined in the RFP/RFI.
- Facilitate timely and professional communication with E and C level executives regarding RFP conditions and scenarios as necessary.
- Contribute to the maintenance and updating of the RFP library.
Educational Qualifications:
A Bachelor's degree in Medical Technology or a related Clinical Sciences field, or equivalent experience may be considered in lieu of a degree.
Experience Requirements:
A minimum of 2 years of experience in RFP processes, technical writing, or a related field. Familiarity with SCC Systems or clinical laboratory experience is advantageous. Proficiency in Microsoft Office Suite and Adobe Acrobat Pro is essential, along with the ability to quickly learn internal systems and applications.
