Job Overview

The Automotive Billing Specialist at Ross Downing Chevrolet, Inc. plays a crucial role in overseeing the financial functions of the dealership. This position is dedicated to ensuring precise and prompt reconciliation of accounting records with the sales department, maintaining the integrity of financial transactions, and managing various schedules associated with inventory, lien purchase orders, and customer payments.

Key Responsibilities:
  1. Accounting Record Reconciliation:
    • Ensure alignment of gross figures from sales transactions with the sales department's logs.
    • Conduct monthly unit count verifications to maintain consistency between accounting and sales records.
  2. Financial Tracking:
    • Verify that down payments and cash on delivery amounts are accurately recorded in the accounting system.
  3. Schedule Management:
    • Maintain and regularly update schedules for Inventory, We Owe, Lien Purchase Orders, Cash in Transit, and Cash on Delivery.
    • Ensure that all deposits applied to transactions are accurately reflected in the relevant schedules.
  4. Inventory Reconciliation:
    • Print and verify inventory details during deal finalization to ensure accurate gross figures.
    • Run schedules regularly to avoid discrepancies in inventory accounts.
  5. Trade Folder Management:
    • Administer trade folders containing essential vehicle documentation, including titles, Actual Cash Value, Car Fax reports, and odometer readings.
  6. Processing Lien Purchase Orders:
    • Facilitate the payoff of trade-ins once transactions are funded and payments are confirmed.
    • Adjust deals and sales commissions for any discrepancies in payoff amounts.
    • Consult with the sales manager regarding significant discrepancies before finalizing payoffs.
  7. Wholesale and Dealer Trade Billing:
    • Generate necessary paperwork for wholesale transactions and dealer trades from auctions.
    • Accurately post transactions in the accounting system, ensuring proper account allocation.
    • Follow up on incoming payments to ensure complete receipt of funds.
Preferred Qualifications:
  • Exceptional attention to detail with a strong ability to reconcile complex financial records.
  • Proficient in accounting software and the Microsoft Office suite.
  • Excellent organizational skills to manage multiple schedules and transactions effectively.
  • Strong communication skills for collaboration across departments.
  • Ability to work independently as well as part of a team.
  • Familiarity with automotive dealership operations and financial processes is advantageous.
Education and Experience:
  • High school diploma or equivalent required.
  • Background in accounting or finance is preferred.
