Automotive Financial Operations Specialist

The Automotive Billing Specialist at Ross Downing Chevrolet, Inc. plays a crucial role in managing the financial activities of the dealership. This position is focused on ensuring precise and prompt reconciliation of accounting records with the sales division. The specialist will be responsible for diligently monitoring financial transactions, processing agreements, and overseeing various schedules related to inventory, lien purchase orders, and customer payments.
Key Responsibilities:- Accounting Record Reconciliation:
- Ensure alignment of gross figures from sales transactions with accounting records.
- Conduct monthly unit count verifications to maintain consistency between accounting and sales logs.
- Financial Tracking and Documentation:
- Verify that down payments and cash on delivery amounts are accurately recorded in the accounting system.
- Schedule Management:
- Maintain and update critical schedules including Inventory, We Owe, Lien Purchase Orders, and Cash in Transit.
- Ensure that all deposits are accurately reflected in the relevant schedules.
- Inventory Verification:
- Generate inventory reports during deal finalization to ensure accurate financial figures.
- Regularly review schedules to avoid discrepancies in inventory accounts.
- Trade Documentation Management:
- Oversee trade folders containing vital vehicle information, including titles, Actual Cash Value, and odometer readings.
- Processing Lien Purchase Orders:
- Facilitate the payoff of trade-ins once transactions are completed and payments received.
- Adjust sales commissions as necessary for any discrepancies in payoff amounts.
- Consult with management regarding significant discrepancies before finalizing transactions.
- Wholesale and Dealer Trade Billing:
- Prepare bills of sale for wholesale transactions and necessary documentation for dealer trades.
- Accurately post transactions in the accounting system to ensure proper allocation.
- Follow up on payments to confirm full receipt of funds.
- Exceptional attention to detail with the ability to reconcile complex financial records.
- Proficient in accounting software and Microsoft Office applications.
- Strong organizational skills to manage multiple schedules and transactions effectively.
- Excellent communication skills for collaboration across departments.
- Ability to work both independently and as part of a team.
- Familiarity with automotive dealership operations and financial processes is a plus.
- High school diploma or equivalent required.
- Background in accounting or finance is advantageous.
