Position Overview

We are seeking a committed Event Planning Specialist to assist in the organization and execution of events along with various administrative responsibilities. The Event Planning Specialist will collaborate with clients to understand their event visions and goals, manage timelines and schedules, coordinate all logistical elements, and ensure successful event delivery.

Our dedication to surpassing client expectations places significant trust in our Event Planning Specialist. This individual will oversee event preparations and our event team, making informed decisions that benefit the organization. Additionally, the role involves continuous assessment of processes and personnel to enhance overall performance. This position requires in-person engagement.

Key Responsibilities

Core Duties:

  • Oversee all logistical components of events to guarantee seamless execution.
  • Develop pre and post-event procedures for the team.
  • Prepare and organize materials and supplies for events.
  • Manage all aspects of event setup, breakdown, and follow-up.
  • Provide on-site assistance during events to ensure everything runs smoothly.
  • Complete post-event tasks in a timely manner.
  • Ensure all staff members maintain a professional, friendly, and efficient demeanor in interactions.
  • Establish and nurture relationships with clients and venues.
  • Handle invoicing and timely collection of payments from clients.
  • Maintain inventory for event supplies.
  • Thoroughly understand all company policies and standards.
  • Capture event content for social media and share with the Creative Manager.
  • Perform administrative tasks such as accounts payable and managing online orders.
  • Assist other departments as necessary.

Qualifications

Essential Skills:

  • Minimum of 2 years in event coordination.
  • 3-5 years of experience in customer service.
  • Proven leadership experience.
  • High energy, positive, and professional demeanor.
  • Self-motivated with excellent communication skills.
  • Able to thrive in a fast-paced environment while delivering quality work.
  • Detail-oriented with strong time management abilities.
  • Assertive team player committed to collaboration.
