Position Summary

This professional role reports to the Brand department and is responsible for coordinating meetings and events across the organization, including sectors such as Consumer Tire, Commercial Tire, Retail, and Executive Leadership. The position involves managing multiple events at various stages and budgets.

The ideal candidate is meticulous, exceptionally organized, and able to maintain composure in high-pressure situations. This role requires interaction with both internal and external clients, necessitating a professional demeanor and the ability to collaborate effectively with diverse personnel. The candidate should also bring innovative ideas and support ongoing improvements.

Responsibilities

• Collaborate with leadership and marketing teams to define event goals and assist in the design, planning, and execution of programs to achieve those goals.

• Oversee budget management, ensuring cost efficiency while maintaining high-quality programming.

• Research and recommend appropriate venues and locations for events.

• Aid the Procurement Team in contract negotiations by understanding contractual language and negotiation standards.

• Create and manage event budgets, monitor expenses to adhere to budget constraints, and reconcile post-event bills. Provide insights on cost-saving measures and assist in final budget reporting.

• Coordinate event logistics, including themes, registration, attendee communication, transportation, timelines, and budgeting.

• Ensure successful onsite event delivery by collaborating with teams, managing attendees, vendor relationships, timelines, and logistics.

• Assist in the planning and execution of trade shows, ensuring seamless coordination.

• Work alongside senior planners to gain valuable experience and insights.

• Engage professionally with individuals at various organizational levels, both verbally and in writing.

• Foster positive relationships among customers, colleagues, and service providers to enhance satisfaction during events.

• Produce clear, error-free event communications, demonstrating a strong grasp of structure, detail, and tone.

Minimum Qualifications
  • Bachelor's degree required
  • CMP (Certified Meeting Professional) preferred or willingness to pursue
  • 3+ years of experience in event management, including planning and operations
  • 2+ years of experience in trade show planning and operations
  • Familiarity with Cvent is preferred
  • Experience in various aspects of event management, including planning, execution, and follow-up
  • Basic negotiation and budget management skills
  • Ability to collaborate with vendors for contract negotiations
  • Strong communication and relationship-building skills
  • Ability to work independently and under pressure while meeting deadlines
  • Organizational awareness and understanding of corporate standards and procedures
  • Willingness to travel up to 25%, including potential minimal international travel
  • Typically requires a minimum of 5 years of related experience with a bachelor's degree; or 3 years with a master's degree; or a PhD without experience; or equivalent work experience
