Key Responsibilities:

  • Manage incoming communications, including phone calls and emails, while providing excellent customer service.
  • Conduct site visits and prepare sales materials as needed.
  • Maintain organized records and files, including client gifts and contracts.
  • Input event details into our reservation systems and coordinate with various departments post-booking.
  • Identify and reach out to potential clients to expand our network.
  • Keep the Sales office organized and efficient.
  • Assist in generating reports and updates in our sales tracking software.
  • Create event materials such as menu cards and informational tools.
  • Participate in all required meetings and training sessions.
  • Act as a liaison between Sales management and clients, serving as the onsite contact during events.
  • Oversee deposit management and ensure timely updates in our systems.

Qualifications:

  • A minimum of 2 years of experience in administrative roles, preferably within the hospitality sector.
  • Exceptional communication skills, both verbal and written.
  • Strong organizational abilities and attention to detail.
  • Proficient in Microsoft Office Suite, Google Docs, and Excel.
  • Ability to thrive in a fast-paced environment and manage multiple tasks effectively.
  • Willingness to work flexible hours, including evenings and weekends as necessary.
  • A strong work ethic and commitment to supporting team members.
  • Adaptability to evolving job responsibilities and a willingness to embrace change.
