Position Summary

This professional role reports to the Brand department and is responsible for supporting meetings and events across the organization, including but not limited to Consumer Tire, Commercial Tire, Retail Organization, and Executive Leadership. The position involves managing multiple events at various stages and levels of complexity with different budgetary considerations.

The ideal candidate is meticulous, highly organized, and capable of maintaining composure under pressure. This role requires interaction with both internal and external clients, necessitating a professional demeanor when collaborating with diverse personnel. Additionally, the candidate should be prepared to contribute innovative ideas and support positive changes.

Responsibilities

- Collaborate with leadership teams and marketing departments to define event objectives and assist in the design, planning, and execution of programs that fulfill those objectives.

- Aid in budget management, ensuring cost efficiency while maintaining high-quality programming.

- Research and recommend suitable venues and locations.

- Support the Procurement Team in contract negotiations by understanding contractual language and negotiation standards.

- Assist in budget creation, manage expenses to adhere to budgetary limits, and reconcile event invoices. Provide recommendations for cost-saving measures and assist in compiling final budget reports post-event.

- Oversee event logistics, including theming, registration, attendee communication, transportation, timelines, and budgeting.

- Ensure successful onsite event delivery by coordinating with teams, managing attendees, vendor relationships, timelines, and logistics.

- Assist in the planning and execution of trade shows, ensuring seamless coordination and execution.

- Work alongside more experienced planners to gain insights and experience from their expertise.

- Engage professionally with individuals at various organizational levels, both verbally and in writing.

- Foster and maintain positive relationships among customers, teammates, and service providers to enhance satisfaction during events.

- Produce clear, error-free event communications with a strong understanding of structure, detail, and tone.

Minimum Qualifications

+ Bachelor's degree required.

+ CMP (Certified Meeting Professional) preferred or willingness to pursue certification.

+ A minimum of 3 years in event management, focusing on planning and/or operations.

+ At least 2 years of experience in planning and/or operations related to trade shows.

+ Familiarity with Cvent is preferred.

+ Experience in various aspects of event management, including planning, execution, and post-event analysis.

+ Basic negotiation and budget management skills.

+ Ability to collaborate with vendors for contract negotiations and pricing.

+ Strong relationship-building and communication skills.

+ Proficient verbal and written communication skills.

+ Ability to work effectively under pressure, independently, and meet deadlines.

+ Knowledge of corporate standards and procedures.

+ Willingness to travel up to 25%, with minimal international travel potentially required.

+ Typically requires a minimum of 5 years of related experience with a bachelor's degree; or 3 years with a master's degree; or a PhD without experience; or equivalent work experience.
