Job Overview

This role reports to the Director of Client Operations.

The Client Operations Associate is tasked with supporting the preparation, processing, servicing, and upkeep of client plans through custodial documentation and internal CRM and reporting systems. This position collaborates closely with Client Experience Coordinators and other Operations Team members to provide essential materials and communication, ensuring the effective execution of tailored plans that align the client's financial resources with their objectives.

KEY RESPONSIBILITIES

  • Collaborate with team members to gather information and prepare necessary documentation for account management.
  • Engage with custodians to oversee and track account/service requests, providing confirmations to internal teams and addressing any issues that may arise.
  • Offer operational insights for client needs, including onboarding, offboarding, transactions, and compliance requirements.
  • Maintain open communication with Client Experience Coordinators to ensure timely and accurate handling of requests.
  • Update and maintain CRM and reporting systems with accurate client information.
  • Continuously manage workflows and keep notes current.
  • Understand operational timelines, workflows, and the tasks required to fulfill requests.
  • Follow established workflows and procedures diligently.
  • Prioritize and manage workload effectively.
  • Self-manage workload while also addressing tasks from the Operations Queue, utilizing systems and reporting tools.
  • Translate verbal and written requests while grasping the underlying intent.
  • Possess knowledge of internal processes and compliance related to client requests.
  • Understand the processes and materials involved in both prospective and traditional client requests.
  • Assist colleagues and adhere to timelines for requests and meetings.
  • Engage in ongoing education and training to stay aligned with regulatory and technological advancements.

QUALIFICATIONS

  • Bachelor's degree preferred.
  • Strong communication and computer skills, with a keen attention to detail.
  • Desire for continued education within the industry.
  • Project management skills are advantageous.
