Job Overview

This role reports to the Director of Client Operations.

The Client Operations Specialist is tasked with supporting the preparation, processing, servicing, and maintenance of client plans through custodial documentation and internal CRM and reporting systems. This position collaborates closely with Client Experience Coordinators and other Operations Team members to deliver the necessary materials and communication to effectively implement custom-designed plans that align the client's wealth with their objectives.

KEY RESPONSIBILITIES

  • Collaborate with team members to gather information and prepare documentation essential for account management, including opening, closing, servicing, and maintaining accounts.
  • Engage with custodians to oversee and track account/service requests, providing confirmations to internal team members and addressing any issues that may arise during the process.
  • Offer operational insights for client needs, including onboarding, offboarding, transactions, and compliance requirements.
  • Maintain effective communication with Client Experience Coordinators to ensure requests are managed accurately and within established timelines.
  • Update and maintain CRM and reporting systems with accurate client information.
  • Continuously manage and keep workflow notes current.
  • Understand operational processes, including timelines, workflows, and tasks necessary to fulfill requests.
  • Adhere to established workflows and procedures.
  • Prioritize and manage workload effectively.
  • Self-manage workload while also addressing tasks from the Operations Queue, utilizing knowledge of systems, reporting, and list views.
  • Translate verbal and written requests while grasping the underlying intent.
  • Possess knowledge of internal processes and compliance related to client requests.
  • Understand the processes and materials involved in both prospective and traditional client requests.
  • Assist colleagues and adhere to timelines set for requests and meetings.
  • Engage in ongoing education and training to stay aligned with regulatory and technological advancements.

QUALIFICATIONS

  • Bachelor's degree preferred.
  • Strong communication and computer skills, with a keen attention to detail and the ability to work collaboratively.
  • Desire for continued industry education.
  • Project management skills are advantageous.
