POSITION SUMMARY

The Grants Accounting Specialist plays a crucial role in supporting the Director of Grant Accounting and other team members in managing project coordination and processing subcontractor payment requests. UWSA effectively oversees multiple state grants that fund programs, including salaries and benefits for staff engaged in grant-related activities. This position is funded through grants, and ongoing employment is dependent on the continuation of grant funding. UWSA actively seeks grants that align with its community impact initiatives, which are typically awarded for a fixed term but may be renewable.

KEY RESPONSIBILITIES

  • Manage contracts for Federal, State, and Private Grants.
  • Prepare billing statements for grantors at various levels.
  • Compile and review financial documents, reports, and statements.
  • Process all payables associated with Federal, State, and Private Grants.
  • Assist the Director of Grant Accounting in preparing and presenting updates on grants to stakeholders.
  • Maintain organized files for all accounts payable related to grants.
  • Review and process monthly invoices from subcontractors related to grants.
  • Support payroll and General Ledger entries for financial reconciliation.
  • Conduct research on account balances and activities as necessary.
  • Review co-investment details for program investments.
  • Assist with internal program reviews.
  • Prepare monthly journal entries.
  • Maintain compliance documentation for grantors.
  • Support year-end financial closing, annual reports, and reconciliations.
  • Assist with audits and desk reviews as required.
  • Facilitate the setup of new vendor contracts and reporting forms.
  • Create standardized reporting templates for contracts as needed.
  • Provide coverage for front desk duties when necessary.
  • Perform additional duties as assigned.

QUALIFICATIONS

  • High school diploma or GED with four years of relevant experience; or a bachelor's degree with two years of related experience; or an associate degree with two years of relevant experience.
  • Experience in budget and fiscal management.
  • One to three years of relevant experience.
  • Strong connections within the nonprofit, public, and private sectors.
  • Experience working with volunteers and community members.

SKILLS AND ABILITIES

  • Outgoing, self-motivated, and innovative.
  • Proficient in Microsoft Office Suite, including Word, Excel, and Adobe.

  • Facilitation and presentation experience.
  • Knowledge of Results-Based AccountabilityTM is preferred.
  • Expertise in data utilization related to community issues.
  • Experience in budget management.
  • Ability to manage relationships with diverse individuals and organizations.

WORK ENVIRONMENT

  • Standard nonprofit office setting with minimal exposure to dust, noise, and extreme temperatures.
  • Regular use of personal computing equipment, telephone, and other office machinery.
  • Reliable transportation is necessary for attending meetings and training sessions.
  • Typical work hours are Monday through Friday, with occasional evening and weekend commitments.
