Job Overview

Sourcingly is in search of a meticulous and efficient Administrative Office Specialist (part-time, 36 hours per week) to oversee a variety of administrative functions within our vibrant office environment. This position is crucial for maintaining seamless office operations and delivering vital support to our team and leadership.

Key Responsibilities:

Communication Oversight: Act as the primary contact by managing phone calls, overseeing the general email account, and directing inquiries to the relevant team members.
Inventory Management: Ensure the office is well-stocked with essential supplies by monitoring inventory levels, placing orders, and coordinating with suppliers. Your efforts will guarantee that the office is always equipped to meet the team's requirements.

Financial Administration: Manage office expense tracking, which includes processing invoices, overseeing petty cash, and preparing regular financial reports for the accounting department.

Event Coordination: Plan and organize various office events, including celebrations, seasonal parties, and team-building activities. Your responsibilities will encompass everything from logistics coordination to ensuring successful event execution.

PTO Administration: Oversee the tracking of Paid Time Off (PTO) for all staff members, maintaining precise records and communicating with employees and management regarding their PTO balances.

Onboarding Support: Serve as the point of contact for new hires, guiding them through the onboarding process, ensuring their smooth integration into the team, and addressing any questions or needs they may have.

Qualifications:

Exceptional attention to detail and resourcefulness, with the capability to handle multiple tasks concurrently.
- Previous experience in an architecture or engineering setting is highly desirable.
- Strong communication skills and a proactive problem-solving approach.

Interview Process:

Two rounds of virtual interviews—one with an associate and the final with the CEO.

Salary: Up to $55,000
