Job Summary

We are seeking a highly organized and detail-oriented Facilities Coordinator to join our team at Hackensack Meridian Health. The successful candidate will be responsible for coordinating and monitoring workflow, providing administrative and clerical support, and ensuring the smooth operation of our facilities.

Key Responsibilities
  • Workflow Coordination: Coordinate and monitor workflow of mechanics, including dispatch, work orders, and equipment maintenance.
  • Meeting Coordination: Attend and coordinate Plant Operations Staff meetings, take minutes, and ensure timely distribution of agendas and minutes packets.
  • Annual Requirements: Coordinate and oversee completion of annual requirements for Plant Operations Staff, including training and data collection.
  • Documentation: Secure, maintain, and update licenses and certifications, and type memos, documents, and reports.
  • Policy and Procedure Manual: Assist in reviewing and revising the Departmental Policy and Procedure Manual.
  • Project Management: Evaluate workload, prioritize projects, and communicate with Department/Nurse Managers on project timelines.
  • Management Support: Provide backup support to management, coordinate vendors and supplies, and ensure timely processing of goods and services.
  • Scheduling: Schedule appointments, maintain calendars, and arrange meetings.
  • Supply Coordination: Monitor and track department purchases, ensure approvals, and research prices.
  • Telephone Management: Answer telephone calls, screen calls, and provide phone support.
  • Travel Management: Make travel arrangements and prepare expense reports.
  • Vendor Contact/Coordination: Contact vendors for prompt service, track annual service agreements, and coordinate vendors in response to needs.
Requirements
  • Excellent Communication Skills: Possess excellent written and verbal communication skills.
  • Computer Skills: Proficient in Microsoft Office and/or Google Suite platforms.
