Position: Project Management Assistant

Position Overview:

DBI Projects is on the lookout for a Project Management Assistant to become part of our dynamic team. This role is an excellent opportunity for an entry-level professional to cultivate essential skills and gain valuable experience in project oversight. We seek a dedicated individual who is detail-oriented, highly driven, and eager to engage in various assignments while maintaining a focus on achieving results. A keen interest in participating in all facets of design and construction is essential.

Essential Experience & Skills:

The Project Management Assistant role is customized to align with the specific requirements of each project and its respective phases. This position supports the project team by managing meeting documentation, overseeing project-related documents, coordinating procurement efforts, managing contractors and schedules, and assisting with budget oversight.

Ideal candidates should possess 1–3 years of experience in fields such as architecture, engineering, construction management, or related disciplines, along with a foundational understanding of project management principles.

Key Competencies Include:

  • Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint, Excel)
  • Familiarity with Adobe Creative Suite (InDesign, Illustrator, Photoshop)
  • Understanding of AutoCAD and Bluebeam software
  • Experience with construction scheduling tools like MS Projects

Responsibilities:

  • Comprehend the interplay between budget management, contracts, and invoicing processes.
  • Draft clear and actionable communications, including emails, updates, meeting agendas, and minutes.
  • Organize project documentation, communications, and timelines effectively.
  • Take comprehensive notes during meetings, identifying action items and key points.
  • Contribute to all aspects of project management (budget, schedule, procurement, quality, and risk) throughout each project phase, including pre-development, planning, design, construction, occupancy, and closeout.
  • Facilitate requisitions through the project closeout process.
  • Extract cost data from various budgets, pricing proposals, and bids, and assist in translating this data into budget figures.
  • Prepare budgets for furniture, fixtures, and equipment (FF&E) as well as IT/AV needs.

Applicants should demonstrate strong written and verbal communication skills and be ready to actively participate in both internal and external team efforts.
