Job Title: Operations Coordinator

The Louisiana Bucket Brigade is seeking an experienced Operations Coordinator to support the internal office operations and administrative functions of our organization.

Job Summary:

The Operations Coordinator will be responsible for maintaining relationships with vendors, ensuring the smooth functioning of all office systems, and coordinating logistics for team-wide meetings and events.

Key Responsibilities:
  • Maintain relationships with vendors and ensure the smooth functioning of all office systems, including phones, conference and Zoom lines, interoffice communication, security, office cleaning, Wi-Fi, server, and other technical needs.
  • Coordinate car maintenance, equipment repairs, office maintenance, and vendor visits as necessary.
  • Maintain calendars for staff schedules, events, meeting room reservations, and company car reservations.
  • Maintain and record inventory, including storage units and office inventory.
  • Order office supplies, coordinate purchase requests, and ensure proper office outfitting with necessary furniture and equipment.
  • Maintain time-off calendars and time-off requests in the time management system.
  • Coordinate and track whole staff professional development opportunities and maintain a database of elective professional development and cultural enhancement opportunities for staff.
  • Implement updates to policy documents, standard operating procedures, and internal admin documents as directed by the Deputy Director.
  • Collaborate with the Deputy Director to develop and implement staff training tools and onboarding protocols.
Requirements:
  • At least three years of experience in an administrative or operations role.
  • Experience working with databases and managing systems, such as Google Drive, JazzHR, and Paychex.
  • Experience implementing staff onboarding and training protocols.
  • Comfortable working with a diverse staff.
  • Excellent organization skills, good time management and prioritization skills, excellent planning and problem-solving skills, good written and verbal communication skills, action-driven with the ability to complete tasks, upbeat solution finder and collaborator, and must be values and mission-aligned.
