Key Responsibilities:

  • Act on behalf of the supervisor or Director(s) to set priorities and tackle administrative challenges.
  • Organize and disseminate announcements for events, including lectures, symposiums, and retreats, while supporting logistics and vendor coordination for these events.
  • Work collaboratively with the faculty-led Steering Committee to refine mission statements, establish new objectives, and manage event updates and registrations, including editing and verifying content for websites and promotional materials.
  • Coordinate recurring meetings for the Wall Center Director and develop agendas for visiting speakers; manage scheduling and compliance for PH Grand Round speakers and travel reimbursements for guest lecturers.
  • Maintain and oversee the Wall Center's email distribution lists and membership databases, tracking member activities such as grants and publications.
  • Process reimbursements, honoraria, and awards related to events and seminars, including handling transactions and purchase orders.
  • Manage property verification for equipment purchases, monitor space utilization in collaboration with Principal Investigators, and oversee office relocations and maintenance requests.
  • Provide guidance and oversight for a graphic designer and two part-time administrative associates.

Qualifications:

A high school diploma coupled with four years of administrative experience, or a combination of education and relevant experience is required.

  • Proven ability to follow through and complete projects successfully.
  • Exceptional organizational skills and meticulous attention to detail.

The anticipated pay range for this position is $33.17 to $43.75 per hour, reflecting the University’s good faith estimate based on various factors.
