Job Overview

Position: Procurement Administrative Assistant

PDQ Staffing Skilled Trades is in search of a dedicated Procurement Administrative Assistant. This role is essential in providing vital administrative and clerical support to the Corporate Procurement Team, ensuring the smooth operation of the Procurement Department.

Key Responsibilities:

  • Act as a communication bridge via email and phone between external suppliers and internal corporate divisions.
  • Facilitate the re-onboarding process for existing suppliers in collaboration with various departments.
  • Assist accounts payable in resolving vendor management issues to guarantee timely payments.
  • Maintain and update vendor documentation in accordance with company policies.
  • Provide technical support to suppliers and the Ariba team during the onboarding process.
  • Ensure all necessary documentation for vendor verification is maintained for auditing purposes.
  • Update the Vendor Management spreadsheet to track ongoing tasks effectively.
  • Exhibit excellent customer service and uphold confidentiality in all job functions.
  • Perform additional duties as assigned, adapting to the evolving needs of the Administrative Department.
  • Offer backup support for the Procurement Administrative Assistant and other team members as required.

Qualifications:

A High School Diploma, GED, or equivalent is required, with an associate degree preferred. A minimum of 2 years of experience in a similar role is necessary. Any equivalent combination of related education and/or experience may be considered.

Skills and Competencies:

  • Proficient in coordinating and maintaining purchasing systems and procedures.
  • Ability to interpret and make informed decisions in line with relevant laws, regulations, and policies.
  • Capable of collaborating effectively with executive and management staff, as well as all levels of employees.
  • Strong customer service skills are essential.
  • Excellent verbal and written communication skills are required.
  • Outstanding organizational skills and a calm demeanor are crucial due to the high volume of email correspondence.

Technical Proficiency:

  • Proficient in using Teams, Microsoft Excel, Word, and Outlook.
  • Must demonstrate a high level of accuracy and attention to detail in a demanding workload environment.
  • Exceptional communication skills are necessary to represent the company effectively.
  • Ability to manage email follow-ups and resolve vendor issues promptly.
  • Maintain a high level of confidentiality in all aspects of the role.
