About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Orora Packaging Solutions. As a key member of our administrative staff, you will provide exceptional support to our employees and management team, ensuring the smooth operation of our office.

Key Responsibilities
  • Operate a multi-line switchboard to relay incoming, outgoing, and interoffice calls.
  • Distribute mail and packages, as well as inter-company documents.
  • Scan mail received for the Accounts Payable department.
  • Distribute physical pay checks.
  • Manage conference room reservations and set up/take down for onsite meetings.
  • Coordinate with various departments to arrange catering and other meeting needs.
  • Order office supplies as needed.
  • Manage expense reporting for meetings and office supply orders.
  • Manage interoffice communications, including TV displays and other materials announcing company programs.
  • Maintain the orderliness of the lobby and public areas.
  • Process and mail statements, checks, bids, daily invoices, and other items as required.
  • Run required monthly reporting for the mailroom.
  • Relay messages to company personnel using a computer terminal.
  • Perform clerical duties, such as typing, proofreading, opening/processing, and sorting mail, faxing, and emailing.
  • Receive visitors and obtain their name and purpose of visit, notifying a coworker.
  • Operate a postage meter and stamp outgoing mail.
  • Assist the Safety department with record keeping and reporting.
Requirements

To be successful in this role, you will need:

  • A high school diploma or equivalent.
  • One to three months of related experience and/or training, or an equivalent combination of education and experience.

  • Bilingual skills are a plus.
  • CPR/First Aid certification is a plus (Orora may be able to assist with obtaining this certification).
