Job Overview

The Grants and Contracts Specialist II plays a pivotal role in delivering expert assistance and support in the development, submission, processing, and oversight of research grants and contract proposals, awards, and agreements for faculty within the institution. This position ensures that the management of sponsored programs related to research adheres to federal, state, and private agency regulations.

Key Responsibilities
  • Conducts thorough reviews of grant and contract proposals and expenditures before submission to ensure accuracy, completeness, and compliance with relevant policies and regulations. Handles a significant volume of grant applications annually for pre-award financial and administrative policies.
  • Serves as a key liaison among departmental administrators, faculty, and external funding agencies to facilitate necessary edits to proposals prior to institutional endorsement.
  • Ensures that grant and contract applications are submitted in the correct compliance format and directed to the appropriate review committees.
  • Monitors monthly grant activities and expenditures, preparing detailed fiscal reports for academic and service departments. Provides cost-benefit analyses and other financial reports as required.
  • Assists in the development of pre-award budgets, oversees post-award monitoring, manages program sub-contracts, and coordinates grant closeout processes.
  • Reviews financial ledgers, tracks sponsor payments, and collaborates with fund accounting to ensure proper expenditure oversight.
  • Engages with faculty and departmental administrators on all matters related to Sponsored Programs and research initiatives, providing essential information for fund activation.
  • Prepares and submits Just-In-Time, supplemental, and amended information to external sponsors as needed.
  • May develop and maintain a research activity database and website, ensuring proper documentation for proposal submissions and awards.
  • Negotiates clinical trial agreements and amendments, collaborating with pharmaceutical and device company representatives.
  • May evaluate and negotiate funding agreements from educational institutions and non-profit sponsors.
  • Acts as a liaison to the Office of Industrial Liaison regarding Sponsored Research Agreements and related issues.
  • Possesses a strong proficiency in information systems, including the Grants Tracking System and Microsoft Office Suite, performing routine data entry and maintenance.
  • May assist in recruitment and retention efforts for clinical trials.
  • Provides training for new faculty and staff in research and grants management, maintaining systems to track faculty certifications.
  • Oversees department-specific documentation to support grant submissions.
  • May coordinate fundraising campaigns and manage associated expenditures.
  • May assist faculty with high-priority projects requiring detailed project planning.
  • Creates and distributes information packets regarding funding opportunities and special alerts.
  • Performs additional related duties as assigned.
Qualifications
  • Bachelor's degree in business administration or a related field, or an equivalent combination of education and relevant experience.
  • Desirable: Clinical trials negotiation training (MAGI, etc.).
  • Certification as an IRB Professional (CIP) is preferred or eligibility to take the exam within six months of hire.
  • A minimum of five years of progressive experience in grants and contracts management.
  • Preferred certifications include NCURA or SRA.
