Position Summary:

We are in search of a detail-oriented, proactive, and analytical professional to support Project Managers in their daily financial operations and reporting. Your responsibilities will include preparing client invoices, managing subcontractor payments, verifying and entering budgets, reconciling and forecasting expenses, and ensuring the financial integrity of the project portfolio. You will closely collaborate with Project Managers to identify trends, risks, and opportunities that may influence future financial outcomes. This role is highly visible and fast-paced, requiring interaction with various departments within the organization.

Key Responsibilities:

  • Assist with project financials, including initial project setup, entering budgets, managing contract modifications, establishing cost codes, and making journal entries.
  • Work alongside Project Managers to meet their monthly and quarterly job cost forecasting and reporting needs, which may involve travel to job sites and attending financial review meetings.
  • Provide analysis of project variances and key performance indicators to management.
  • Build and maintain relationships with subcontractors to ensure timely payments and accurate record-keeping.
  • Monitor billing deadlines, maintain the schedule of values, and prepare client invoices, including necessary documentation and vendor invoices as required.
  • Support payroll with cost coding inquiries related to timecards.
  • Analyze and monitor project cash flow and financial performance.
  • Proactively track and pursue project cash collections.
  • Organize and maintain project-related documentation, including subcontractor and vendor requirements.
  • Perform additional duties as assigned.

Qualifications:

  • Bachelor's degree in a relevant field.
  • A minimum of 1 year of relevant experience in construction project or job cost accounting.
  • Familiarity with AIA billing processes and lien releases is preferred.
  • Strong organizational skills and effective communication abilities are essential.
  • Proficient in Microsoft Excel, including advanced functions such as VLOOKUP and pivot tables.

Physical Requirements:

  • Ability to sit for extended periods while working on a computer.
  • Capability to lift up to 15 pounds.
  • Willingness to travel as necessary.

Compensation: $70,000 - $85,000 annually
