Job Summary

Celebration Obstetrics and Gynecology is seeking a highly skilled and experienced Medical Practice Center Director to lead our team of healthcare professionals. As a key member of our management team, you will be responsible for overseeing the day-to-day operations of our medical practice, ensuring the delivery of high-quality patient care and exceptional customer service.

Key Responsibilities
  • Call Center Management
    • Lead and manage the call center team to ensure timely and professional handling of patient inquiries, appointments, and concerns.
    • Develop and implement strategies to optimize call center performance, including monitoring call metrics, quality assurance, and staff productivity.
    • Analyze individual, team, and call center results to identify areas for improvement and implement action plans accordingly.
    • Conduct regular monitoring of service calls to observe employee demeanor, technical accuracy, and adherence to company policies.
    • Address customer complaints by providing answers to queries and recommending corrective services to ensure customer satisfaction.
  • Coordinated Services Management
    • Oversee medical coordinators responsible for coordinating OBGYN services, referrals, surgeries, and medical records for OBGYN patients.
    • Ensure efficient patient flow through coordination of schedules, resources, and timely communication with the team and patients.
    • Collaborate with healthcare management team to streamline processes and improve patient experience throughout their journey at Celebration Obstetrics and Gynecology.
  • Records Management
    • Manage patient records in compliance with healthcare regulations, including HIPAA guidelines, and ensure accuracy and confidentiality of information.
    • Develop and maintain efficient electronic health record (EHR) systems for easy access and retrieval of patient data.
    • Implement protocols for record keeping, documentation, and archiving to support efficient patient care and administrative processes.
  • Scheduling
    • Oversee the management of scheduling and calendar software to streamline processes for OB/GYN appointments, surgeries, and other services, aiming to optimize patient flow and provider efficiency.
    • Collaborate closely with medical coordinators and providers to ensure timely scheduling and minimize patient wait times, fostering a smooth and efficient patient experience.
    • Utilize advanced scheduling software to effectively manage appointments and allocate resources, ensuring that patient needs are met while maximizing the utilization of available resources.
  • Compliance
    • Ensure adherence to corporate policies, procedures, and regulatory requirements related to healthcare operations, including HEDIS compliance/reporting.
    • Collaborate with corporate stakeholders to implement best practices and standards for quality assurance and compliance.
  • Continuous Improvement
    • Provide leadership and mentorship to the team, fostering a culture of accountability, teamwork, and continuous improvement.
    • Analyze call center metrics and performance data to identify areas for improvement and implement action plans accordingly.
    • Lead initiatives to enhance operational efficiency, customer satisfaction, and overall performance of the practice.
    Requirements
    • A Bachelor's degree in healthcare administration, business management, or a related field is required, along with 2+ years of experience in healthcare management -or- a 2-year degree with a minimum of 5+ years of experience in healthcare management, specifically in OBGYN and operational management.
    • Proficiency in Next Gen/Athena or similar practice management software.
    • Thorough understanding of medical terminology, procedures, and clinical workflows pertaining to obstetrics and gynecology.
    • Demonstrated success in leading and managing teams, with a focus on continuous improvement and achieving operational excellence.
    • Exceptional communication, interpersonal, and leadership skills, with the ability to collaborate effectively with multidisciplinary teams.
    • Proficiency in electronic health record (EHR) systems and healthcare compliance regulations, including HIPAA and HEDIS reporting.
    • Ability to prioritize tasks, manage multiple responsibilities concurrently, and thrive in a fast-paced, dynamic environment.
    • Knowledge of Excel for data analysis and reporting is preferred.
