Position Overview:

The Senior Project Coordinator is responsible for ensuring the effective execution of projects by meticulously overseeing and managing the Project Triple Constraint: Scope, Schedule, and Budget. This role also involves the administration of Risk, Quality, and Safety throughout the project lifecycle and its various phases, including (a) Investment Intent, (b) Feasibility, (c) Technical Planning, (d) Implementation, and (e) Closure.

The Lead Project Strategist will undertake the following responsibilities to guarantee project success: (a) track project direction and progress, (b) provide oversight, guidance, and decisions for project deliverables, (c) report to the Steering Committee and other stakeholders, and (d) facilitate structured execution of all project phases in compliance with industry best practices and internal governance.

This role includes providing project oversight and monitoring progress to ensure alignment between Design Intent and Investment Intent throughout the project lifecycle. The key responsibilities are outlined below for clarity.

Organize and lead the project team, collaborating with site and global/corporate organizations as necessary.

Consult and inform the Project Sponsor, Steering Committee, and Functional Leads throughout the project lifecycle regarding progress, risks, concerns, and achievements.

Be accountable for the successful delivery of the project concerning cost, time, scope, quality, and safety.

Ensure that a comprehensive project charter and suitable user requirements are established.

Guarantee compliance with local regulations and internal guidelines.

Define and implement a project execution plan, including Risk and Change Management.

Follow established approval processes as per internal guidelines.

Collaborate with Global Sourcing to determine the appropriate Project Delivery Method consistent with established guidelines.

In partnership with Global Sourcing, manage the prequalification and selection of A/E, CM services, contractors, and vendors.

Oversee and monitor contractors in line with contractual agreements and project requirements.

Develop and implement the project organization according to the chosen project delivery method for each respective phase.

Ensure project implementation meets cost, schedule, and quality targets.

Execute the project in adherence to all safety guidelines and requirements.

Initiate Peer Review and/or Value Engineering workshops with relevant stakeholders.

Ensure all project tasks and activities are completed timely and with the required quality, including documentation for each project phase, construction, installation, commissioning, qualification, validation, and start-up activities.

Consider utilizing benchmarking KPIs to provide comparable estimations.

Be responsible for regular project reporting aligned with the Steering Committee or Project Sponsor.

Ensure project close-out is thorough and that the final project report is submitted.

Facilitate the handover of all necessary project documents for operational use.

Coordinate and align with various stakeholders.

Ensure the project is effectively launched, initiated, and concluded.

Promote best practice sharing at the conclusion of each project.

Required Skills:

The output from the Senior Project Coordinator will encompass, but is not limited to, the following tasks and deliverables:

Develop, submit, and obtain approvals for the Project Charter.

Draft, submit, and secure approvals for Scopes of Work.

Create, submit, and obtain approvals for the Project Execution Plan.

Prepare and submit Cost Estimates.

Design and submit the Project Organizational Chart.

Establish and submit the Key Milestone Schedule.

Develop, submit, and obtain approvals for CapEx Budget Requests.

Formulate and execute a project buyout plan in accordance with corporate policies.

Prepare and submit Requests for CapEx Project Authorization (RCPA) for qualifying projects.

Generate and submit monthly Project Progress Reports to the Steering Committee.

Compile and submit monthly Budget Analysis, Cashflow Projections, and Contingency Utilization reports to Project Controls and the Steering Committee.

Manage and monitor contractors in accordance with contractual agreements and program requirements.

Develop and implement project organization for respective project phases.

Facilitate Peer Reviews and/or Value Engineering workshops with adequate preparation time.

Ensure all project tasks and activities are performed in a timely manner and with the required quality.

Guarantee the handover of all necessary project documents to operations.

Be accountable for the financial and project close-out during the Post GMP release phase.

A candidate must demonstrate effective communication and interface skills, along with critical thinking and analysis abilities appropriate to their experience level. A functional knowledge of project management tools and standard business applications is essential.

The ideal candidate should be proficient in using Cloud-Based file storage systems and management productivity tools, including Microsoft Office Suite, Microsoft Projects, and Adobe DocuSign.

Education Requirements:

A Bachelor's Degree or over 5 years of experience in a Technical role, PMP Certification, or over 7 years of experience as a Project Manager. Experience in the Biopharmaceutical Industry and familiarity with GMP environments is essential.
