Job Summary:

We are seeking a highly organized and detail-oriented Front Desk Coordinator to join our team at The QTI Group. As a key member of our front office team, you will be responsible for providing exceptional customer service, managing administrative tasks, and supporting our recruiting teams.

Key Responsibilities:

  • Answer multi-line phone calls and direct them to the appropriate team members
  • Greet and direct visitors in the office, ensuring a positive and welcoming experience
  • Assist recruiting teams with talent intake and job postings, maintaining accurate records and databases
  • Provide support to website visitors via live chat, escalating issues to QTI employees as needed
  • Maintain and monitor inventory of office supplies and promotional items, ensuring a well-stocked and organized workspace
  • Assist internal teams with administrative tasks and projects, demonstrating flexibility and adaptability
  • Anticipate needs and schedule or reschedule meetings accordingly, ensuring seamless coordination
  • Prepare meeting agendas, materials, catering needs, and room setup for meetings and seminars, showcasing attention to detail

Requirements:

  • High School Diploma or GED required; Associates degree preferred
  • 2+ years of experience in front desk or administrative assistant capacity
  • Strong communication and customer service skills, with the ability to collaborate with diverse individuals
  • Strong computer skills, specifically Microsoft Office and typing 40+ wpm
  • Self-motivated with the ability to proactively provide ideas and solutions
  • Ability to manage multiple projects simultaneously, prioritizing tasks and meeting deadlines
  • Willingness to complete background and reference checks upon accepted offer
