Job Overview

POSITION SUMMARY: The Client Services Coordinator plays a vital role in assisting the Client Services Team by addressing and fulfilling client requirements on a daily basis.

Key Responsibilities: The following duties are essential to the role. Additional tasks may be assigned as necessary.

  • Maintain consistent on-site attendance.
  • Perform data entry tasks.
  • Handle daily fulfillment activities.
  • Support Open Enrollment processes.
  • Assist in drafting board meeting minutes as required.
  • Manage and maintain executed contracts.
  • Help prepare preliminary agendas under the guidance of the Client Manager or Account Executive.
  • Organize board meetings and related logistics.
  • Coordinate meeting facilities.
  • Ensure quorum is met.
  • Process incoming faxes and mail.
  • Assist with outbound communications.
  • Carry out other responsibilities as assigned by management.
  • Respond to incoming research requests from Account Executives and Client Managers promptly.
  • Foster strong relationships with Account Executives and Client Managers.
  • Gather necessary information to complete all required activities.
  • Demonstrate comprehensive technical knowledge of industry standards, products, and compliance requirements.
  • Escalate opportunities to upper management when necessary.

Customer Service: Ensure effective resolution of customer issues and concerns.

Technical Proficiency: Navigate and understand the My Health Benefits platform.

Administrative Support: Provide administrative assistance to the Client Services team.

Required Knowledge, Skills, & Abilities:

  • Proficient in computer applications, including Word, Excel, and Outlook.
  • Exceptional verbal and written communication abilities.
  • Strong analytical capabilities.
  • Effective problem-solving skills.
  • Ability to lead effectively in all aspects of the role.
  • Dependable with a strong attendance record.
  • Adaptability to evolving demands of the position and organization.

Supervisory Role: This position does not involve supervisory responsibilities.

Qualifications: To succeed in this role, candidates must meet the essential duties satisfactorily. The qualifications listed below represent the necessary knowledge, skills, and abilities. Reasonable accommodations may be made for individuals with disabilities.

Education and Experience: High School diploma or G.E.D. with a minimum of 6 months of relevant experience or training; or an equivalent combination of education, training, and experience demonstrating the ability to perform the described duties.

Language Proficiency: Ability to read, write, and speak effectively in English. Competence in interpreting documents such as plan documents, memos, letters, and procedural manuals. Capability to write routine reports, meeting notes, project documentation, and correspondence. Proficient in addressing customer service issues within the role's guidelines.

Mathematical Skills: Ability to perform basic arithmetic operations.

Reasoning Skills: Ability to apply common sense to follow instructions provided in written, oral, or diagrammatic form. Capable of addressing problems involving multiple concrete variables in standardized situations.

Certificates and Licenses: Valid class C driver's license in the state of employment with no adverse driving record.

While performing the duties of this job, the employee is regularly required to sit for extended periods, reach with hands and arms, and communicate effectively.
