Position Summary:
The Client Intake Specialist plays a crucial role in managing the referral and intake process. This includes collaborating with the Clinical Liaison to enhance existing referral sources and develop new ones. Key responsibilities encompass assisting clients with intake documentation, scheduling appointments, monitoring referral statuses, and ensuring that preliminary data is collected and entered in compliance with regulatory standards. Additionally, this role supports the Clinical Liaison in marketing, public relations, and stakeholder education.

Key Responsibilities:

  1. Review and manage all incoming referrals.
  2. Coordinate appointment scheduling and ensure completion of new client intake forms.
  3. Track referral source activities using information technology and generate necessary reports.
  4. Provide new clients with information regarding services, policies, programs, and clinical pathways.
  5. Collaborate closely with the Licensed Intake Specialist to meet business objectives.
  6. Deliver timely information to field staff regarding community services.
  7. Maintain positive relationships with current referral sources through various engagement activities.
  8. Establish and nurture relationships with collateral programs, agencies, and businesses to promote Amethyst's clinical services.
  9. Assist with care coordination throughout the enrollment, treatment, and discharge phases of therapy.
  10. Work with the Clinical Liaison to develop and refine processes that enhance client enrollment efficiency.
  11. Ensure compliance with local, state, and federal regulations.
  12. Support the Clinical Liaison in developing and managing contracts with new insurance providers and programs.
  13. Complete both clinical and non-clinical paperwork related to client enrollment, research data collection, and treatment transitions.
  14. Generate and obtain reports from provider partners to monitor case statuses.
  15. Verify insurance eligibility and maintain logs of authorizations and reporting requirements.
  16. Provide updates, educational materials, and statistical analyses to referral sources, serving as a resource for inquiries and care concerns.
  17. Collaborate with intake team members to address issues raised by referral sources.
  18. Continuously seek innovative ideas and marketing strategies to discuss with the marketing team.
  19. Support clients from referral to admission and provide regular feedback to referral sources as needed.
  20. Strive to enhance the image of Amethyst within the provider community.
  21. Perform additional duties as required.

Qualifications:

  1. Strong oral and written communication skills, with the ability to work independently and manage time effectively.
  2. Ability to communicate effectively and tactfully with clients and community stakeholders.
  3. Dependable attendance and punctuality.
  4. Excellent time management abilities.
  5. Working knowledge of healthcare office operations.
  6. Prior experience in coordination or management is preferred.

Minimum Requirements:

  • Associate's degree or relevant work experience; Bachelor's degree preferred.
  • 3+ years of intake/enrollment experience (Medicaid, Medicare, NC BC/BS, Aetna, Tricare, United).
  • Experience working with diverse and underserved communities.
  • Strong communication skills, including effective internal communication with the central team.
  • Bilingual skills (English and Spanish) are a plus.
  • Organized and detail-oriented.
  • Comfortable in a fast-paced environment.
  • Able to collaborate effectively with an interdisciplinary team.
  • Clinical experience is a plus.
