Position Summary:
The Client Intake Specialist plays a crucial role in managing the referral and intake process. This includes supporting the Clinical Liaison in maintaining existing referral relationships and establishing new ones. Responsibilities encompass assisting clients with the completion of intake documentation, scheduling appointments, monitoring referral progress, and ensuring that preliminary data is accurately collected and entered in compliance with regulatory standards. The Client Intake Specialist also collaborates with the Clinical Liaison on marketing, public relations, and stakeholder education.
Key Responsibilities:
- Evaluate and process all incoming referrals.
- Coordinate appointment scheduling and ensure completion of all new client intake forms.
- Monitor referral source activity through information technology and generate reports as required.
- Provide new clients with information regarding services, policies, programs, and clinical pathways.
- Collaborate closely with the Licensed Intake Specialist to achieve business objectives.
- Deliver timely information to field staff regarding community services.
- Maintain positive relationships with current referral sources through various engagement activities.
- Establish and nurture relationships with collateral programs, agencies, and businesses to promote Amethyst's clinical services.
- Assist with care coordination throughout the enrollment, treatment, and discharge phases of therapy.
- Work alongside the Clinical Liaison to develop and refine processes that enhance client enrollment efficiency.
- Ensure compliance with local, state, and federal regulatory standards.
- Support the Clinical Liaison in developing and managing contracts with new insurance providers and programs.
- Complete clinical and non-clinical documentation related to client enrollment, research data collection, and transitions in treatment services.
- Generate reports and obtain updates from provider partners to track case statuses.
- Verify insurance eligibility.
- Maintain logs of authorizations, data reporting requirements, and expiration dates.
- Provide referral sources with updates, educational materials, and statistical analyses, serving as a resource for inquiries and care concerns.
- Collaborate with other intake team members to address issues raised by referral sources.
- Continuously seek innovative ideas, new markets, and marketing strategies to discuss with the marketing team.
- Support clients from the referral stage to admission, providing regular feedback to referral sources as needed.
- Strive to enhance the image of Amethyst within the provider community.
- Perform additional duties as required.
Qualifications:
- Strong oral and written communication skills, with the ability to work independently and manage time effectively.
- Ability to communicate effectively and tactfully with clients and community stakeholders.
- Dependable attendance and punctuality.
- Excellent time management abilities.
- Familiarity with healthcare office operations.
- Prior experience in coordination or management is preferred.
Minimum Requirements:
- Associate's degree or relevant work experience; Bachelor's degree preferred.
- 3+ years of intake/enrollment experience (Medicaid, Medicare, NC BC/BS, Aetna, Tricare, United).
- Experience working with ethnically and culturally diverse and underserved communities.
- Strong communication skills, including effective internal communication with the central team.
- Bilingual abilities (English and Spanish) are a plus.
- Organized and detail-oriented.
- Comfortable in a fast-paced environment.
- Able to collaborate effectively with an interdisciplinary team.
- Clinical experience is a plus.
