Events Coordinator

The Events Specialist plays a critical role in planning and organizing large-scale events, collaborating with internal stakeholders to understand objectives and develop event budgets. This position requires strong research and negotiation skills, as well as the ability to build and maintain relationships with vendors. The ideal candidate will have a strong attention to detail and be able to lift 30 pounds.
Key Responsibilities- Plan and organize large-scale events, including logistics, transportation, accommodations, meals, and technology
- Collaborate with internal stakeholders to understand objectives and develop event budgets
- Research and recommend venues, vendors, and services
- Coordinate logistics, including personnel, equipment, and supplies
- Build and maintain relationships with vendors and stakeholders
- Direct personnel to ensure operations run smoothly on the day of the event
- Meet with customers and/or service providers regarding products and services, negotiate contracts, and make recommendations within the client's budget
- Maximize revenue by implementing cost containment measures, promoting internal services, and upselling products and services
- Generate event work orders and communicate with internal stakeholders
- Monitor schedules, organizational service levels, and standards
- Maintain documentation through applicable software programs to track performance and assist in business development efforts
- Monitor activities to ensure regulatory and policy compliance, participant satisfaction, and problem resolution
- Serve as the point of contact for real-time adjustments or changes
- Conduct post-event evaluations, determine improvement areas, and develop ongoing client relationships to foster future business/revenue opportunities
- May coordinate services such as accommodations, transportation, tours, and event security
- Provide backup administrative support to the Operations Department in the areas of purchasing and financial assistance
- Requires an Associate's Degree plus two years of relevant experience or an equivalent combination of education and experience

SalaryThe salary range for this position, including all possible grades, is $46,300.00 - $67,300.00. Salary structure information can be found on Penn State's job and salary structure website.
