Job Overview

SmartHR, LLC is actively seeking a Lead Specialist in 401(k) Administration to join our dedicated team. This role is essential in managing and overseeing the administration of our clients' retirement plans, ensuring compliance and accuracy in all recordkeeping activities.


As a part of our growing Participant Directed Plan Division, you will be instrumental in maintaining the integrity of retirement accounts and providing exceptional service to our clients. Key Responsibilities:

  • Execute advanced recordkeeping functions, including the processing of contributions, distributions, loans, and other transactions in line with plan specifications and regulatory standards.
  • Conduct thorough reviews and reconciliations of participant accounts to ensure data accuracy and transaction integrity.
  • Address and resolve complex participant inquiries and discrepancies concerning account balances, transactions, and plan details.
  • Assist in maintaining compliance with all relevant laws, regulations, and internal policies related to 401(k) plans, including IRS and DOL mandates.
  • Support the preparation and dissemination of required participant communications, notices, and disclosures.
  • Generate and assess periodic reports, statements, and filings to guarantee their accuracy and completeness.
  • Act as a subject matter expert, providing mentorship and guidance to junior team members on recordkeeping processes and regulations.
  • Respond to client inquiries and escalations, ensuring timely and precise assistance.
  • Collaborate with internal teams to facilitate effective communication and resolution of client issues.
  • Identify and implement opportunities to enhance recordkeeping processes, improve efficiency, and elevate service quality.
  • Engage in initiatives aimed at system enhancements, automation tools, or workflow improvements to optimize recordkeeping operations.
  • Share insights and recommendations for process improvements based on experience and industry best practices.

Qualifications:

  • A Bachelor's degree in business, finance, accounting, or a related discipline is preferred.
  • Relevant certifications (e.g., Certified Employee Benefits Specialist, Retirement Plans Associate) are advantageous.
  • Several years of experience in retirement plan administration, particularly in 401(k) recordkeeping.
  • Comprehensive knowledge of retirement plan regulations, including ERISA, IRS, and DOL requirements.
  • Strong analytical abilities to interpret and apply plan documents, regulations, and policies effectively.
  • Exceptional attention to detail and accuracy in executing recordkeeping tasks and reconciliations.
  • Proficient communication skills, both written and verbal, with the capacity to interact professionally with clients and colleagues.
  • Familiarity with recordkeeping systems (RELIUS), Microsoft Excel, and other relevant software applications.
