Position Overview
The Office for Undergraduate Education (OUE) plays a vital role within Emory College of Arts and Sciences, managing all student academic functions from orientation through graduation for over 5000 students. With nearly 80 staff members across various roles, the OUE operates as a dynamic central office throughout the year.
The Administrative Support Specialist for Office Reception is a crucial member of the OUE team, serving as the primary point of contact and delivering outstanding customer service to meet the needs of students, parents, faculty, and staff. This role requires a solid understanding of academic policies and the ability to assess and address inquiries effectively.
Key Responsibilities:
- Provide administrative assistance across various functions, ensuring compliance with university policies.
- Manage incoming phone calls and respond to inquiries with professionalism.
- Organize and prioritize meeting requests for management while maintaining calendars.
- Review and respond to correspondence, highlighting items of importance for management.
- Prepare reports, presentations, and other documentation as needed.
- Coordinate logistics for meetings and special events, including scheduling and material preparation.
- Maintain accurate records and manage invoices, keeping management informed of account statuses.
- Assist with budget monitoring and development, preparing expense reports as necessary.
- Organize travel arrangements and maintain databases for effective data management.
- Oversee office supply inventory and ensure timely ordering and maintenance.
- Supervise support staff and/or student workers as required.
- Perform additional related duties as assigned.
Minimum Qualifications:
- A Bachelor's degree or equivalent experience with a minimum of five years in an administrative role.
- Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, and Excel.
- Familiarity with collaboration tools such as OneDrive, Zoom, and Teams.
Additional Information:
- Staff the front reception area, providing essential resources and resolving common academic inquiries.
- Maintain current knowledge of academic policies to facilitate appropriate referrals and support.
- Communicate effectively with various stakeholders regarding office functions and updates.
- Assist in the operational aspects of the OUE, including supply management and document processing.
- Manage communication channels for advising inquiries.
- Facilitate standard academic processes, ensuring timely and accurate handling of requests.

- Strong organizational and communication skills, with experience in student development in higher education.
- Exceptional customer service abilities and proficiency in data management tools.
- Previous experience in higher education environments and front desk administration is advantageous.
