Position Summary

The Grants and Compliance Accounting Manager plays a crucial role in ensuring precise, consistent, and timely financial management and compliance related to the organization's grants. This includes overseeing post-award grant accounting, budget adjustments, and adherence to funding source guidelines, ensuring prompt revenue collection, and accurate submission of financial reports in accordance with grant regulations.

  • Thoroughly review grant terms and conditions to ensure compliance with funder expectations.
  • Monitor monthly project expenditures to confirm alignment with approved budgets and compliance with applicable federal, state, and other regulations (e.g., 2 CFR Part 200) as well as Generally Accepted Accounting Principles (GAAP).
  • Prepare and submit invoices and report requests to funding agencies in a timely manner.
  • Compile month-end and quarter-end compliance summary reports, collaborating with program and support departments to generate reports for funders.
  • Analyze grant budgets against actual expenditures and work with department heads to ensure spending aligns with grant budget forecasts, managing amendments as necessary.
  • Oversee grant cancellations, amendments, and payment adjustments.
  • Manage the post-award and closeout phases of financial grant administration.
  • Prepare revenue journal entries, including cost reclassifications and monthly accruals.
  • Possess knowledge of accounting recognition rules for temporarily restricted net assets and deferred revenue.
  • Update monthly payroll allocation entries related to grant activities.
  • Maintain organized records and documentation to ensure audit readiness.
  • Assist with compliance audits, fiscal reviews, and grant schedules.
  • Perform additional duties as assigned.

Qualifications and Experience

  • Bachelor's Degree in Accounting or a related field, or equivalent experience.

Essential Skills and Competencies

  • Minimum of 5 years of experience in the nonprofit sector, including general accounting and compliance.
  • At least 5 years of experience in budget development and grants management.
  • Strong verbal communication, active listening, writing, and editing abilities.
  • Collaborative team player who is adaptable, resourceful, and capable of handling multiple responsibilities.
  • Proven ability to prioritize multiple projects, maintain progress, solve problems, and meet tight deadlines.
  • Ability to quickly and collaboratively resolve complex issues with programs, finance, and operations.
  • Expertise in budget development and expense allocation to support proposals and grants.
  • Knowledge of GAAP, including reporting requirements and procedures related to federal, state, and other grants, cost accounting, and uniform guidance audits.
  • Familiarity with principles and practices of contract/grant administration, monitoring, and budgeting.
  • Capability to manage contracts, requirements, policies, and procedures related to grants, as well as applicable laws and regulations.
  • Ability to compile and analyze data and prepare summary status reports.

Technical Proficiencies

  • Experience with fund accounting software, preferably MIP, Sage Intacct, or similar ERP systems.
  • Proficient in Microsoft Office, especially Excel (including pivot tables and vlookups).
  • Familiarity with other relevant technologies such as Salesforce.
